An exciting opportunity has arisen to join the team of staffing co-ordinators who work across the organisation providing staffing cover to different services throughout the organisation.

The person we are looking for must be highly motivated have good communication skills and be able to work and liaise with managers and staff on a daily basis.

The role will involve co-ordinating with services to support them to find cover for staff absences including those that are planned and those that are short notice. In addition the duties include keeping accurate records on a computerised database system for rotas, relief staff hours and additional hours.

As a Staffing Co-Ordinator you will manage a team of Relief staff and be responsible to support their induction, allocation of shifts and their supervisions.

There is a need for flexibility and the hours are worked throughout the week and the weekend on a rota basis.

MAIN TASKS:

To work the designated hours as necessary to include weekend workingTo arrange suitable cover for all staff absences as are necessary for the smooth running of residential, supported living and respite services. To coordinate with the Registered and Service Managers to arrange staff redeployment to minimise impact of unexpected, last minute staff absences. To keep accurate records on the computerised SIP staffing system, including rotas, relief staff hours and additional hours. The SIP records and reports are to be kept up to date and submitted to the Finance Department and made available to other senior members of staff highlighting any areas of concern. To liaise with Registered and Service managers as soon as practicable on sick absences and its likely duration and subsequently the date of return to work. To ensure that no member of staff or relief staff exceeds the set limit for the maximum number of hours to be worked, on average, in any one week. Unless that staff member has volunteered to work the additional hours, and it has been agreed following the company guidelines. To be aware of the charities Health and Safety Policy, and ensure that all staff particularly new Relief Staff, adhere to this. To undertake, arrange and monitor induction for new members of the Relief staff team. To inform the HR Department of any changes, and assist in the interviewing process. To preauthorise agency invoices in absence of admin assistant. To ensure that all relief staff and agency staff have the correct training before being placed on shift. To undertake such staff training as considered appropriate, and any requests for training to be made through the Staffing Manager and the Training Officer. To liaise regularly with the Staffing Manager, the Registered Managers/Service Managers and the Heads of Service. To ensure that all staff are contacted on an objective and fair basis in accordance with the charity's Equal Opportunities Policy. To attend the meetings where applicable to discuss staffing issues. To undertake supervisory responsibility for allocated Relief staff including appraisals and supervisions. To line manage allocated Peripatetic Support Workers and Weekend Peripatetic Support Workers. Assist in setting the staff rotas. To monitor and manage restriction in working hours for student visa workers on relief. Liaising with staffing manager and HR in following procedures and home office regulations.
