ABOUT THIS ROLE

  • The Programming Associate will support the Central Programming team, which includes but is not limited to, show diary management, creation of programming related documents and reports, liaison with producers and promoters and adherence to internal communication processes in relation to show and event bookings.

  • In this role you will have links with the Theatre Directors, marketing departments (local, central and external), promoters, producers (internal and external) and ticketing teams (various), so you will be adept in planning and organising, with attention to detail. You will have excellent communication skills, ensuring you build positive relationships with key stakeholders. With good initiative, you will be proactive, and selfmotivated.

KEY RESPONSIBILITIES

  • As a Programming Associate within the centralised programming team you'll:
  • Respond to promoter and producer requests for diary availability under the guidance of the Regional Programming Director and/or Head of Regional Programming.
  • Input into all venue diaries through Artifax, including but not limited to diary entries, releases, update notes and general housekeeping.
  • Using Artifax, produce and distribute reports as requested.
  • Create programme related function sheets and other necessary documentation. Distribute as required in a timely manner.
  • Keep abreast of the Artifax software system making full use of Artifax Support and offering feedback to influence ongoing reviews and developments.
  • Undertake Artifax Support training to ensure the Programming Team remain fully up to date with system developments and changes.
  • Working with the Programming and Ticketing teams and in liaison with producers and marketeers, gain an understanding of and contribute to the creation of gross potentials that both maximise income and encourage sales.
  • Play a key role in liaison between Programming, Marketing and Ticketing departments ensuring an effective and timely flow of communication.
  • Work collaboratively with internal colleagues (i.e. Production, Marketing, Ticketing, venue based teams) to achieve best outcomes at all times.
  • Engage with the Financial and other teams as and when appropriate to support creation of programme related reports.
  • Offer general administration support to members of the Central Programming team.
  • Be willing and able to attend shows and events should the need arise.
  • Any other duties as required from time to time taking into consideration the grade of the post and capabilities of the employee.

Desirable skills

  • Experience with Artifax or other event management software
  • Experience working collaboratively within a team and across multiple departments
  • Proficient with Word, Microsoft, Excel
  • An affinity with the theatres and programming
