Reports to:
Managing Partner & HR Manager

Full training and support will be provided with opportunities to learn in other areas, if feasible and desirable.

JOB RESPONSIBILITIES

  • To provide administrative support to the secretarial team and to the primary admin team. Supporting both teams will provide an interesting variety of work and an excellent opportunity to be fully involved in all aspect of admin work within general practice.
  • Confidential liaison between patients, multidisciplinary teams, secondary care and appropriate clinicians.
Monitoring and managing outstanding and declined referrals as per policy and guidelines.

  • Liaising with patients and coordinating all private GP work, ensuring fees are advised together with the booking of private clinical appointments.
  • When required, raising fee invoices together with some credit control for which training on our accountancy software will be provided.
  • Responsible for the creation and issue of our monthly Patient Newsletter.
  • Providing adhoc admin support to the Managing Partner when required.

Duties will vary from time to time under the direction of the GP Partners and Managing Partner dependent on current and evolving practice workload and staffing levels.

This job description is intended to provide an outline of the key tasks and responsibilities. There may be other duties required of the post-holder commensurate with the position.

This description will be open to regular review and may be amended to take into account developments within the practice.


Management and Admin Support


The Secretarial Administrator may also be required, at times, to support the Clinical Director and the PCN Manager with administrative duties.

This will be adhoc work; the post holder will need to be able to delegate, follow up, and be able to report back to the PCN Management team in a clear and concise manner.

In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters.

They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.


In the performance of the duties outlined in this job description, the post holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers.

They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential.


Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
