Within this role as a Office Administrator you'll: Control and coordinate the functions postal arrangements:Capture, open, sort and distribute all incoming postCollate and prepare all outgoing post for distributionLiaise with Royal Mail and other mail couriers as appropriateMaintain postal recordsCode and scan all new post/email to pensions database and launch new cases for completionTrack and reactivate 3rd party cases awaiting additional informationTrack pensioner status using appropriate softwareLearn the fundamentals of pensions administration and how pensions schemes should be administered to comply with legislationCreate and maintaining pension scheme member recordsProvide to support to the processing of case workflowsProvide telephony and email support to the Customer Relationships Management Team as and when requiredSupport other work in fulfilment of the Resource Plan as and when requiredSupport Facilities Management function as and when requiredResolution of internal and external queries via telephone, email and letterWho we're looking forYou will have/be: Proficient in Microsoft packages, notably Excel and WordFamiliar with electronic document imaging (EDM) processes and the use of appropriate scanning softwareExperience of coordinating and controlling the postal solution of an officeExperience of pension databases would be advantageousAble to work to strict deadlinesA strong customer focus and commitment to delivery of a high-quality serviceSolid organisational and time management skillsThoroughness and a strong attention to detailExcellent verbal and written communication skills, with the ability to express complicated ideas in a concise and clear wayThe ability to adapt, multitask and flex to changeWillingness to learn and developGood analytical and data interrogation skillsSelf-motivated with the ability to work autonomously and as a team player, proficient in managing your own workloadWhy work for usDay in, day out, our teams deliver some of the UK's most ambitious, exciting and meaningful projects; developing, building and maintaining the vital infrastructure that supports national economies and strengthens communities.
