Corporate Governance Support Officer

You will organise and schedule a range of meetings to support the corporate governance team, which will include the full facilitation of meetings and preparation of papers/reports.
This will include the need to prompt and follow up work assigned to senior colleagues to ensure meeting deadlines are met and includes papers required from outside the organisation.
Adapting, developing and implementing departmental systems and processes will be required in this role together with an advanced use of Word, Excel, Access and PowerPoint.
You will require an eye for detail and be able to work with mínimal supervision whilst organising, prioritising and delivering your own workload alongside that of the team, often to tight deadlines.
The postholder will support the Corporate Governance team to support the assurance that the governance processes are complied with effectively in order to maintain defined standards.
This includes booking venues; checking attendee availability; draft preparation, collation and distribution of agenda and supporting papers; attending to take formal minutes, which may require travel; and maintaining master files for meetings.
Adapt, develop and implement associated policies and practices as required.Prompt/follow up work assigned to senior colleagues within/outside of the Team to ensure achievement of deadlines.
Ensure the Trust Document Control Library is monitored and maintained, updating the register and publishing the documents to the intranet / internet in a timely manner.
Gathering, analysing and presentation of necessary data to meet governance and assurance requirements.

Work with the wider team to develop communication and engagement plans where required and assist with the delivery of these plans.
To oversee and arrange, attend and provide required administrative support for specific Governor / Membership events within the annual Calendar of Events ensuring that the appropriate support is available to Governors / Members and internal and external speakers, this will sometimes be held out of usual office hours and across site.
Assume responsibility for organising office machinery and equipment, including ordering of stationery and supplies and liaising with other department staff as appropriate.
Ensure that confidential personal files are maintained as required for the Team and that the holiday and sickness/absence reports are maintained as required.
Ensure that team records are stored in a way that is compliant with GDPR and represents 'best practice' including auditing the filing structure.
Any other duties as may reasonably be required.
