To our Team we are currently looking for Project Administrator, who will be responsible for project support of customized fire and gas system products.

Project Administrators (PA) work in tandem with project managers performing project administrative duties to support the completion of projects. This role will participate during all phases of the project management process.

  • Previous project management / project support experience
  • Experience in documentation control
  • Experience with MS Office, Adobe Pro, ERP systems and scheduling software.
  • Command of JD Edwards will be an asset
  • Capability to adapt to changing directions in a fast paced environment.

  • Critical thinking and problem solving skills
  • Solid organizational and time management skills.

As a Project Administrator, you will be responsible for:

  • Reviewing /confirming project file handover on network drive to the Project Manager
  • Coordinating and documenting internal and external meetings from Kickoff / Launch through final post mortem.
  • Coordinating with the project manager data entry done by Customer Service; this includes initial order setup, line additions / modifications, and closure.
  • Setting up, coordinating, and hosting inspections; this includes followup on inspection documentation.
  • Coordinating shipping; this includes packing, crating, marking, shipment documents, and freight forwarding coordination. This will often times include outside vendor coordination for crating, marking, and collection of the shipment.
  • Monitoring material / Device orders with planner / buyers for release to manufacturing, ordering, availability, and shipping.
  • Coordinating / creating and monitoring the document creation, submittal, and approval process
  • Proactive customer communication on project status, possible delays, or challenges.
  • Assisting finance with customer contact for invoicing and payments / collection challenges.
  • Providing minimum of monthly review per project with Project Manager; this includes: Project schedule, assigned tasks, processing status, dashboard review / updates, etc.
  • Timely communication with master scheduler for any order additions / changes.
