Customer Service Apprentice with Events and PR
35 hours a week
Monday-Friday rotation of shifts
- 8:30am4pm
- 9am4:30pm
- 9:30am5pm
Reporting to the Events Manager, the Customer Service Apprentice is to assist and support in organising and delivering exceptional awards, alongside completing a level 3 Apprenticeship.
Main Responsibilities
Awards Promotion
- Be knowledgeable about the Awards Process, Categories, Judges and Partners to answer queries and assist with entry forms.
- Offer support to the Communications Lead, helping with Promotional Marketing to Mailing Award Lists, ensuring accuracy and Mailchimp checklists are followed.
- Prepare Marketing Lists as required.
- Assist with updating the Awards and Events websites prior to launch and any changes required during the awards process.
Customer Service
- Communicate in a friendly and professional manner at all times.
- Confidently answering the phone in a professional manner at all times.
- Take all incoming calls and answer all quires, and if unable to do so, record messages accurately and pass onto relevant colleague.
- Make In Progress calls during entry periods across Awards.
- Make Ticket calls to finalists across the Awards
Sales and Bookings
- Responsible for ticket bookings including updating book when, phone payments, creating receipts and updating ticket masters.
- Follow all GDPR procedures to the highest level.
- Prepare daily sales reports for directors and senior team members.
- Creating ticket masters when advised.
- Sending weekly entry updates to director and event manager.
- Follow up with any Ticket Sales with a failed payment status, during Early Bird Periods, or as directed by the Events Manager.
Awards Events
- Support the Events Manager with Awards Preparation, Execution (where necessary), and Post Award Responsibilities.
- Support the Micro Project Lead in the preparation of Local, Regional and National Award Launches and Workshop Events.
- If in attendance at any Awards Final / Event, play a key role within the team and set a positive example for external support staff.
- Ensure accuracy when checking Trophies, Certificate and Presentations, and highlight any mistakes to the Events Manager to be dealt with.
- You may be required to assist the events manager and team to events, showing enthusiasm to be involved and help when required.
Partners and Judges
- Support the team to ensure Partnership Agreements are fulfilled.
- Direct any queries from the judges to the Events Manager.
- Ensure any issues or complaints from Partners are immediately directed to the Events Manager to manage in line with the company complaints policy.
- Uploading new Partners and Judges information to the website, in absence of Event Co-Ordinator Apprentice.
Office Responsibilities
- As the first point of contact on the phone you are responsible for having an engaging and professional approach.
- Supporting the Office Manager wherever necessary with tasks around the office.
- Be aware of all Health and Safety requirements in the office, and at alternative event venues.
- Work closely with the Event Coordinator Apprentice to ensure knowledge is shared within the team and help to cover responsibilities within the team during times of sickness and annual leave.
- Responsible for accurate note taking at meetings and distributing as directed by the Events Manager.

- Outstanding communication and customer service skills.
- Basic knowledge of MS Office and use of Social Media Platforms
