An exciting opportunity has arisen for a Medical Staffing Rota Coordinator within the medicine division.

The Medicine Rota Coordinator will work with the Clinical Directors, Training Lead, Speciality and Clinical Business Managers, the Medicine Consultants & Junior Doctors to support the delivery of rotas and staffing to an agreed level.

You will provide accurate timetables and on-call rotas for senior and junior medical staff.


You will work closely with other Medicine team members to ensure that a safe & efficient service is maintained in order to provide the best care possible for our patients.


Along with the duties associated with the management of rotas & work timetables, you will be responsible for accurately recording and acting upon planned and unplanned absences, such as leave or sickness and updating Healthroster for the Directorate.

You will also be required to have responsibilities within the team for allocation of and management of Additional Capacity sessions when required and the payments of our Bank and Agency Doctors

Communication with Medacs to support the fill of any gaps identified in the rotas which cannot be filled internally.

Communication & Leadership

  • To aid the management team in guiding and supporting staff to sustain high levels of service efficiency and effectiveness.
  • To communicate rota alterations clearly and in a timely manner.
  • To foster strong working relationships across medical, nursing and admin team.
Planning & Organisation

  • Record and monitor, electronically and manually, all medical staff leave such as annual leave, study leave, professional leave, sick leave etc. in accordance with SBU and Trust policies and procedures.
  • Identify any issues with rota cover in relation to absences and liaise closely with the main Medical Staffing Department [Medacs] to procure cover and agency bookings.
  • Arrange short notice internal cover for unforeseen absences.
  • Manage the Health Roster system ensuring all relevant clinical activities are allocated correctly.
  • Process extra duty claims for Trust Consultants.
  • Provide an effective dropin medical manpower information service for the Directorate's medical staff, across sites.
  • Produce and distribute rotas for all grades of medical staff.
  • Initiate and develop Leave Coordinator working practices and protocols which promote the provision of a high quality 24 hour emergency service.
  • Maintain effective communication channels across sites, linking in with key departments and health professionals.
  • Provide assistance with the local induction of newly appointed medical/agency staff.
  • Assist in the collation of information in relation to the monitoring of junior doctors' hours
Partnership Working

  • Cooperate with other members of the management and clinical team to ensure that there is consistent and equitable approach to Trust policies and directorate objectives.
