Your main purpose in this role will be to provide crucial administrative support to the operational and critical management within the business.

By doing so, you will help facilitate the smooth operation of our critical services, ensuring that tasks are promptly logged, allocated, and updated.

Additionally, you will ensure that necessary resources are readily available to meet the demands of the business.


As an integral member of our team, your efforts will directly contribute to the optimisation of our processes, allowing us to deliver high-quality services to our clients.

Your exceptional organisational skills and attention to detail will be highly valued as you keep our operations running smoothly.

We are looking for someone with a passion for precision and a proactive mindset. Your ability to handle multiple tasks efficiently will be instrumental in maintaining the effectiveness of our business operations.

Key Responsibilities

  • Efficiently manage the job tracker (Ostara), logging, allocating, and updating all works, ensuring tasks are assigned appropriately and progress is welldocumented
  • Oversee timesheet administration and staff holidays, maintaining accurate records and managing leave requests
  • Reactive Work Requests: Handle urgent and reactive work requests, promptly addressing critical issues
  • Maintain the work order tracker to ensure business continuity and achieve high compliance with Service Level Agreements (SLAs) on a monthly basis, ensuring tasks are completed within specified guidelines
  • Foster and maintain internal relationships, particularly with Data Centre/Head Office operations and critical teams, to facilitate smooth communication and collaboration within the campus engineering team
  • Manage access permissions for buildings across the campus through the VAF tracker, ensuring its upkeep.
  • Keep the training skills matrix uptodate and organise training courses for the team as required to enhance their skills and expertise

  • Administration: Strong organisational and coordination abilities
  • Communication: Excellent verbal and written skills
  • Team Player: Confident collaborator with diverse teams
  • Time Management: Efficient task prioritisation and meeting deadlines
  • Engineering Knowledge: Familiarity with technical language (advantageous)
  • CAFM Experience: Desirable familiarity with facility management systems
  • Previous Experience: Advantageous in a similar role or related industry
  • Motivated Learner: Willingness to adapt and contribute to growth
  • Customer Focus: Strong service orientation
