C&C Search is currently recruiting a Diary Assistant for the Chairman of this global strategic advisory firm. Based in Holborn, amazing company, great benefits, hybrid working.

Position:
Supporting the Chairman / Founder. Reporting into the Senior Executive Assistant

Salary:
Up to £40K plus discretionary bonus

Hybrid set up:4 days in the office / 1 day wfh - with flexibility

Key responsibilities for this Diary Assistant position**:

  • Optimising the Chair's time by planning and coordinating schedules, resolving conflicts, anticipating any difficulties, negotiating and allocating time to priorities and making sure he is in the right place at the right time, with the right information and briefing.
  • Ensuring meetings run smoothly by coordinating with the relevant partners, assistants and office managers.
  • Coordinating and collating briefings under the direction of the Chiefs of Staff, making sure that the Chair is provided with the relevant papers or briefing in advance of meetings.
  • Actively monitoring and helping to manage the Chair's calendar and inbox. Being able to identify and then deal swiftly with urgent enquiries by escalating them to the appropriate team member as required.
  • Effectively managing a heavy information flow and ensuring team members are kept up to date with any events, requests or calendar changes that impact their respective portfolios.
  • Responding to invitations and coordinating with event organisers to ensure quick replies and liaison over details.
  • Supporting the Senior Executive assistant with the Chairs lunches and dinners networking programme, including invitation management, coordination with guests and briefing requirements.

What background and experience are the company looking for?

  • An ability to work collaboratively and flexibly with others and within a dynamic team, often to short deadlines and to achieve common goals, maintaining quality whilst continuing to deliver the required fast pace of the role.
  • Strong interpersonal, relationship building and communication skills (both verbal and written). Including an ability to take dictations and draft high quality correspondence.
  • A high degree of discretion, with an understanding of the need for and importance of confidentiality in a highly sensitive environment.
  • Confidence to engage personally on a daily basis with the business's most senior leaders and high profile clients and contacts.
  • Excellent judgement and approach to situations, tasks and problems.
  • An ability to quickly but effectively deliver to tight deadlines, whilst remaining professional in a pressured environment.
  • A strong track record in managing a high quality service, and the ability to manage competing priorities and deal pragmatically with sometimes conflicting priorities.
  • A flexible outlook and approach, coupled with a real enthusiasm. Taking responsibility for high quality work, demonstrating personal resilience and strong attention to detail
  • Excellent administration and IT skills, especially Outlook.
  • An ability to embed themselves within the business to understand the firm's strategy, direction and approach.
