We are seeking an enthusiastic and outstanding individual to join our existing team on the Gastroenterology Day Case Unit at the John Radcliffe Hospital, as a full-time Ward Clerk.


The purpose of this post will be to provide effective and efficient administrative support to the clinical team and the patients that this Unit treats on a daily basis.

Excellent communication skills, the ability to be highly organised and prioritise a busy workload will be key to being successful in this role.

To provide a comprehensive clerical service for the

Day Case Unit:

timely scheduling and communication of patient appointments; booking and administering of the appointments on the Electronic Patient Record (EPR) system; filing medical records; ensuring a robust process is in place so all procedures can be correctly coded in a timely manner; and to provide ongoing audit of patients details on EPR to ensure data quality is maintained.


To proactively take a lead in developing the administration of the DCU, identifying areas for improvement and working with the Ward Sister and Patient Access Manager to develop and implement these.


To be friendly, helpful and polite towards all patients ensuring that a high standard of patient experience is delivered at all times.

RESPONSIBILITIES
Patient Support

Scheduling and preparation

Schedule all patients requiring day case procedures (Day Case Unit patients, including infusions, venesections, paracentesis and ERCPs):

  • Schedule and book appointments on EPR and communicate details to patients.
  • Review the admissions one week ahead to ensure that the appointment calendar and EPR both match.
  • Obtain notes for the clinic and track these to the DCU on EPR
  • Place notes for all patients in the prescription tray at least one week prior to the clinic. Liaise with the pharmacist to ensure that prescriptions are ready in time for the patinet's appointment.
  • Ensure notes have patient labels and wrist bands printed
  • Continue to review admissions in the days leading up to the clinic to ensure all notes are present and any late additions are booked on EPR and notes obtained.
On the day

  • Ensure all patient notes are present and put out ready for the start of the clinics
  • Receive and book in Day Case attendees in real time, ensuring the patient is admitted on EPR. Complete any other documentation as necessary. Check patient address and GP address, making any changes to EPR as appropriate
  • Receive all patients to the Day Case Unit with a supportive attitude and excellent communication skills.
  • Check out patients on EPR and book subsequent appointments with patients on the day
  • File all reelvant paperwork regarding the admission, ensuring notes are well maintained.
  • Ensure coding form has been completed by nursing staff, is attached to the front of the notes and the patient file is placed in the coding tray.
  • Liaise with nursing staff regarding patients who did not attend/ latr cancellations and contact patient as appropriate, ensuring EPR is updated
  • Deal with patients on the DCU on a daily basis, solving problems and directing queires to the relevant individuals.
Day Case Unit Administration

  • Identify areas for improvement and work with the Ward Sister and Patient Access Manager to develop and implement these.
  • Provide administrative support to nursing staff as requested
  • Be the point of contact for patients for DCU queries
  • Monitor all paperwork on DCU and top up as required.
  • Monitor levels of stationary amd ensure that there are adequate supplies of stationery, ordering as required
  • Liaise closely with the clinical coders to ensure all coding of discharged patients is carried out.
  • Once notes have been coded ensure these are returned to the relevant area within three days of patient discharge.
  • Work with Service Support Manager to ensure that the records kept on EPR are correct so that an accurate Patient Tracking List (PTL) is maintained at all times. This will include regular audit of past appointments to ensure all procedures have been recorded on EPR and that all patients have been checked in and checked out.
