We have a great opportunity available for an administrator to work within our estate agency offices.
Reporting to the Leasehold Property Manager, you will be appointed to the
Keynsham office. The role will involve
general office administration / secretarial duties within the busy property management department. The applicant should have
excellent typing skills, attention to detail and a methodical approach to administration work

Hours of work:
Monday to Friday 9am to 3pm (27.5hrs a week)

The successful Administrator will be:

  • Dealing with all
    incoming phone calls:
  • Dealing with
    fob requests, advising costs, checking for payments, programming and sending our fobs:
  • Dealing with
    contractors:
  • Dealing with
    general queries from LH's:

  • Uploading documents to Blockman
  • insurance, info sheets, H&S, FRA, Asbestos.
  • Dealing with
    my blockman queries advising how to access, reset password, find items on there

Ordering stationary:

Putting announcements on myblockman:

-
Franking post & taking to PO

  • Activating documents for myblockman
-
Updating Blockman when informed of change of address / tenant details from lessees

Assisting PMs as necessary:

-
Chasing work orders and updating details including reports:

  • Section 20 notices
-
Stuffing and sending all invoices Sending out accounts for signing by a director

Creating and updating letter templates:

-
Block Take On/Handover:

-
Liaising with other agents for take on / handover of blocks
-
All admin responsibilities from take on sheet

Directors / Annual General Meetings:

-
Booking directors meeting / agm venues - if required - finding suitable location, speaking with venues to arrange, referring to accounts for payments to be made.

Sending AGM invites - ensuring all documents are on mbm for lh's, creating the letter detailing required information, creating the meeting on BM.

Putting all AGM invites and minutes on Blockman

Putting all DM invites and minutes on Blockman

The successful Administrator will have the following skills:

  • Ability to work proactively and inspire others to do the same
  • Excels at operating in a fastpaced environment whilst staying organised
  • Collaborative work style and commitment to get the job done
  • Excellent written and verbal communication skills to communicate with people at all levels (internal and external)
  • Excellent IT skills including the use of Outlook, Word, Excel and internal database to be a super user
  • Experience in estate agency would be desirable but not essential

This is a 5-day working week not 6 like many other agencies
