The Admissions and Pre-assessment receptionist role provides an invaluable patient focused service, working within the clinical units of the hospital.

The main responsibilities will be receiving and admitting patients, supporting internal referrals and bookings, dealing with patient queries and providing a high quality administration service at a leading Cancer Centre which prides itself on clinical excellence

Due to the nature of the role, we are looking for a dependable and highly adaptable individual who is able to work independently and has the ability to fit in and proactively contribute to the existing team.

This role is an excellent opportunity to develop your administrative skills in a fast moving and dynamic department within the NHS.

Substantial experience working as an administrator in a relevant medical setting is required for this post. Excellent Microsoft office skills and knowledge of medical terminology are essential.

  • The post holder is an integral member of the Admissions Department. The post holder will coordinate all administrative aspects of the admissions and bookings services including patient communication, reception, scheduling and clerical duties.
  • Ensuring that appointments are scheduled in an efficient and timely manner, so that results can be made available to fit with the patient's pathway.
  • The post holder will provide cover for the APU reception desk and will be required to handle enquiries from patients, their careers and Trust and nonTrust staff in person or by telephone/post.
  • The postholder will liaise with a variety of staff throughout the Trust. This will predominantly involve Sutton APU staff. In addition, there will be contact with Anaesthetic Consultants and admissions coordinators throughout the Trust, in addition to other Health Services.

2.3 Appointments, Scheduling and Capacity Management

2.3.1 To deal with all APU referrals from clinicians and nursing staff within the unit ensuring that the appointment is scheduled within an appropriate clinical time frame taking into account clinical priority and cancer waiting times targets.

2.3.2 To liaise directly with the patient regarding their appointment, either verbally or in writing, providing information and reassurance and managing patient expectations around the scanning experience.

2.3.3 To be responsible for ensuring that patients are given appointment letters and patient information sheets where relevant.

2.3.4 When necessary, to liaise with the clinical, technical, nursing or coordinating staff to prioritise the scheduling of new referrals.

2.3.5 To liaise with APU senior staff when arranging non-standard investigations.
2.3.6 To reschedule appointments for patients whose scan has been cancelled or delayed.

2.3.7 To handle all enquiries, in person or by telephone in a polite and confident manner, referring callers to the appropriate staff when unable to help.
