The successful applicant will be expected to provide secretarial support to the Anaesthetic Services Coordinator and to all other Anaesthetic Department staff, under the supervision of the Anaesthetic Services Coordinator.

There will also be an expectation to organise referrals and appointments for specialist pre-assessment clinics and typing of clinics.

Providing secretarial support to Anaesthetic Services Coordinator, Consultant Anaesthetists, Specialty Doctors, Junior Doctors and Specialist Pain Nurses.

Communications and Relationship skills - (Factor 1)

  • Supporting the Anaesthetic Services Coordinator with the daily running of the department and deputising where necessary.
  • Working with all levels of staff including consultants, junior doctors, specialist nurses, theatre staff and patients.
  • Amending the electronic anaesthetic staff rota in the Coordinator's absence, under consultant supervision and communicating change of anaesthetist, surgeon or theatre number to the relevant staff.
  • Work without supervision, problem solve and take initiative where required.
  • To act as the first point of contact between the Consultants and the team, maintaining good communication with them and other staff in the department.
  • In the absence of the relevant consultant/s, medical or nursing team member, ensure that appropriate messages are taken or information escalated where appropriate.
  • Communicate effectively with the teams on a timely basis ensuring robust systems exist so that staff feel informed.
  • To coordinate and liaise with other secretarial staff to ensure that cover arrangements are facilitated by working as a team.
  • Be able to communicate both across the Trust and interdepartmentally with all levels of staff, Medical, Nursing, Clinical Support Staff and other members of the multidisciplinary teams.
  • To liaise with external professionals as well as the general public in a friendly, professional and courteous manner, using empathetic and sympathetic skills when required.
  • Arrange meetings and ensure effective communication with team.
  • Ensuring cover for colleagues' annual leave and sickness, as required in absence of Coordinator.
  • Highlight any departmental concerns regarding performance of the team or operational issues that prevent service delivery to the relevant senior manager.
  • Analytical and Judgemental skills - (Factor 3)
  • Processing notes for review in a timely manner, ensuring that the relevant anaesthetist has sight of them when required.
  • Using the Patient Administration System to input and extract information regarding patient and GP details, inpatient admissions, outpatient referrals, outpatient appointments. Arranging for correction of patient information when necessary.
  • Taking and typing minutes from meetings and interpreting them as and when required.
  • Accurate typing with attention to detail.
  • Planning and Organisational skills - (Factor 4)
  • Manage and prioritise own workload and be able to work independently.
  • Booking of referrals and appointments for the weekly Pre-Operative Anaesthetic and Obstetric specialist clinics. Sending appointments to patients. Ensuring patient notes are readily available for the consultant prior to clinic date, retrieval of notes from clinic and typing of clinic letters. Moving and/or cancelling appointments when required.
  • Maintaining a followup system ensuring that all investigations requested have been carried out, the results receive
