Role Description


This post will provide support to the Student Data and Admissions team, specifically the accurate input and changes to student data.

This will include enrolments both in year and the main enrolment period, assisting admissions, liaising with exams, supporting attendance monitoring and monitoring retention data.


The post holder will be required to ensure accurate records are kept and that College processes are followed to ensure the college can make maximum use of data and statistical reports to support key decisions.

The post holder will become conversant with all aspects of learner data including enrolment, timetables, registers, admissions and

ESFA data requirements.

Main duties


The list is neither definitive nor exclusive and the range of tasks would embrace many incidents and situations which are not stated, but require initiative and common sense to be applied.

The job may involve any or all of the following:

  • To acquire a thorough understanding of College data systems.
  • To ensure that all student data is accurately completed, input and retained and recorded in college systems as required.
  • To ensure that when information and documentation is missing, it is followed up in a timely manner
  • To support all enrolment and admission activities, including making amendment to learner data, dealing with in year enrolments and any amendments such as transfers, withdrawals etc. This covers all elements of the Colleges work ; Adult Education; Apprenticeships; HE and international students.
  • To support the timetabling process as required
  • To use reports as required to support College processes including checking data accuracy, validity and integrity as required
  • To deal with data related enquiries form Senior Managers and staff as required
  • To support HE administration and data returns as required
  • To validate data to an agreed schedule as directed
  • To develop basic knowledge of ESFA funding methodologies
  • To support the examinations office as required, to deal with examination enquiries related to data and enrolments.
  • To provide attendance reports for senior managers and staff to support attendance monitoring and other relevant college processes
  • To complete in year timetable changes as required and assist the Vice Principals with day to day requests as required.
  • To ensure key College systems have the data required to provide timely reports for staff
  • To support the inyear and end of year leaving procedure as required, including sending out any correspondence as needed.
  • To collect and record learner's destination data.
  • To contribute to providing key returns as required including the September guarantee, reports to ESCC and other authorities, taking the lead as required.
  • To ensure that any concerns about, gaps or inaccuracies in data are reported to the senior staff immediately
  • To work additional hours at necessary times to maintain the continuity of all College Information Systems and ensure excellence in customer service. At enrolment time, you will be required to work additional hours as necessary to have the timetable ready for the start of term. Time off in lieu will be given

  • To follow College policy in the management of Health and Safety in all aspects of your work, including a pro
- active approach to Risk Assessment for all your duties.

  • Undertake regular appraisal and professional development to ensure proper delivery of these responsibilities. This includes training as required to maintain up to date knowledge of legislation and best practice, and using this knowledge to review College policies and procedures.
  • Follow good practice and College policy in all aspects of the work and in the management of staff and resources. The postholder will show an awareness of, and compliance with, all College policies and procedures, but particularly those relating to Health & Safety and Equal Opportunities.
  • Undertake any reasonable task at the request of the Director of Services Supporting Learning, Principal or designated Deputy.
