What You Need to Know


Due to an increase in workload for our Service Team, we are looking for an experienced administrator to join our busy and talented team; which comprises of Engineers, Technicians and office based staff.

If you have worked in a similar role, or have outstanding admin, customer service and organisational skills then this could be the role for you.

Reporting to our Service Manager, this is a role which will make a difference to the team and the success of our service projects.


What We Are Looking For

  • Assist with relevant paperwork or training requirements for personnel.
  • Assist with travel and visas.
  • Assist with the administration of our operating system D36
  • Promote effective communication between the service team members, internal departments, suppliers and clients.
  • Prepare and raise documentation support for the service team where required such as work packs, shipping requests and certification.
  • Responsible for nontechnical aspect of part sales.
  • Source quotations from suppliers for the project/product team and other stakeholders.
  • To act as a point of escalation for all project engineers for supplier issues.
  • To work with the service coordinator to ensure orders are delivered in time for Service Projects.
  • Obtain the relevant information to raise the appropriate variation orders or request for an increase in purchase orders. Prior to invoicing or in response to any requests for changes by client.
  • Resolve, or assist in resolving, any quotation specification discrepancies with the relevant
- project engineer.

  • Produce nontechnical documentation and ensure the completed proposal is ready for dispatch within the stipulated deadline.
  • Enter opportunities onto the service system and associated documents and prepare the project folder on the network.
  • Manage processing of live quotations
  • Perform adhoc analysis of historic and ongoing proposals. Prepare and run reports as required.
  • Assist the service coordinator with any invoicing related activities.
  • Maintain contracts in conjunction with the Service Manager.

Qualifications / Skills & Experience

Education

Essential

  • Good standard of education including GCSE English and Math at Grade 94 (or equivalent).

Preferred

  • NVQ in Level 3 Business.

Skills

  • A high level of customer focus is required, together with the ability to prioritise workloads and represent the company in a positive manner; therefore willingness to work outside normal office/ factory hours, to support Customer requirements and site activities, is required.
  • Ability to remain calm and focused whilst balancing the needs of the Customer and Company.
  • Having a genuine interest in working with, and assisting, Customers.
  • Willingness to work outside normal office hours in supporting Customer requirements and site activities.

This job may require travel, as required, to maintain levels of service support to our clients; therefore you should hold a valid driving license and passport(s).
