Chubb Fire & Security now has an opportunity for an Office
Administrator and Coordinator to join the team in our Bridgewater
office.

The main goal of this role is to provide administrative support to ensure the smooth and effective running of the Project office.

You will be working on a large project and will be the first point of contact for the office, including visitors, providing the best customer service possible.


Job Description:

- manage online and paper filing systems

  • Be SC Cleared to manage OS Data
  • Use and implement administrative systems, such as record management
  • Record any Project Office expenditure.
  • Organise the Project Office layout and maintain supplies of stationery and equipment.
  • Maintain the condition of the Project Office and arrange for any necessary repairs
  • Organise and minute meetings with Clients & Project Staff
  • Oversee any Project Team training and induction requirements.
  • Manage Project Team Members absence records & systems.
  • Be able to manage their own workload and output.
  • Support staff development and training.
  • Implement and promote equality and diversity policy.
  • Compile reports for senior management and produce presentations.
  • Respond to client enquiries and correspondence
  • Review and update health and safety policies and ensure they are implemented

Qualifications:

  • Proficient in Microsoft Office 365, especially in Word, Excel & Powerpoint.
  • Experienced in the safe storage of sensitive electronic data and document control preferred, but not essential.
  • Able to work in a fast paced Project Delivery Team environment (experience in Facilities Management of a small project office would be ideal).
  • Experience in booking project team travel & accommodation.
  • Flexible in daytoday tasks, have excellent organizational skills, with a professional and personal approach to both other team members & client staff.
  • Able to occasionally travel to Head Office and local project sites to support other members of the team when required.
  • Excellent communication skill at all levels from Engineers to Senior Management Team, and similar with the clients team.
  • Able to prioritise workload and work to tight deadlines.
