The Executive Assistant and Office Manager will work autonomously and proactively to provide executive assistant and secretarial services and will have responsibility for the successful and smooth operation of the Head Office and associated projects.  Working with the Head Office receptionist, they will monitor existing processes and identify, implement and manage new processes where necessary to ensure the office is welcoming and efficiently run. 

Key Responsibilities: 

  • Proactive and full management of diaries, resolving conflicts as necessary to ensure effective use of time, aligning to the priorities and objectives of the Directors, ExCo and Senior Leadership  
  • Reviewing and preparing for planned meetings and events, gathering materials and documents in advance, arranging catering or booking restaurants   
  • Coordinating and booking of business travel and accommodation.  Creating detailed itineraries for both national (primarily) and international travel.  
  • Producing documents, briefing papers, reports and presentations   
  • Preparing draft board reports and agendas, circulating final copies 
  • Financial administration, raising Pos and  processing invoices 
  • Processing expenses, reconciling credit card statements, and challenging out of policy expenditure  
  • Acting as a gatekeeper by screening enquiries and requests, using initiative to prioritise requests or distribute these to more appropriate colleagues  
  • Leading or assisting with other ad-hoc projects/tasks as necessary  
  • Covering for other EA/PAs and Reception when necessary  
  • Alongside the other EA/PAs, facilitating a first-class onboarding experience for new joiners to Head Office
  • Ongoing organization of the office and continuous assessment of its use, adapting ways of working as necessary to ensure it's operating in the most efficient and effective manner  

Key Skills and Experience: 

  • Strong organisational skills 
  • Exceptional written and verbal communication skills with the ability to build and maintain professional and friendly relationships 
  • Previous line management experience of front of house team
  • Proactive problem-solving abilities and capacity to work independently with minimal supervision 
  • Ability to work under pressure and handle multiple tasks with efficiency 

We work a hybrid working model with 3 days in our office in London Bridge
