As our Administration Coordinator, you'll play a vital role in supporting groundbreaking initiatives such as Isambard 3, Isambard-AI, and upcoming AI and High-Performance Computing programmes. Imagine being at the forefront of innovation, providing essential administrative support to our cutting-edge projects and offering executive assistance to senior academic and professional services staff.

This role is not just about paperwork; it's about making an impact. You'll have the opportunity to monitor budgets, organise captivating internal and external events, craft compelling documents and publicity materials, and contribute to the seamless operation of our professional support services.

What will you be doing?

  • Research and Communication: Research, collate, and edit material for reports and communications, ensuring accuracy and clarity in documentation.
  • Administrative Procedures: Design and implement administrative procedures as needed, maintaining compliance with university standards and procedures.
  • Financial Management: Maintain accurate financial records, identify gaps in information, and report anomalies to relevant managers, ensuring financial integrity.
  • Event Organisation: Organise and publicize events and workshops, liaising with various stakeholders, managing registrations, and ensuring smooth logistical arrangements.
  • Executive Support: Provide executive support to senior staff, including diary management, meeting coordination, travel arrangements, expenses, and hospitality, facilitating efficient operations at all levels.

You should apply if

  • Qualification & Experience: A-levels or equivalent, paired with relevant work experience.
  • Tech Proficiency: Skilled in Microsoft Office suite, email, web, and office systems. Experience with web content management and database/spreadsheet management is a plus.
  • Adaptability: Thrives in fast-paced environments, excels at prioritisation, and delivers accurate work under pressure.
  • Versatility: Adept at carrying out a wide range of duties to support the team and the Centre, and adaptable to the evolving needs of its AI and High-Performance Computing programmes.
  • Event Management: Experienced in organising and managing large events independently.
  • Autonomous Work: Proven capability to work independently, handling challenges and delivering results autonomously.

Additional information

Contract type: Open Ended

Work pattern: Monday - Friday, 35 hours per week. Open to considering this opportunity as a job share.
