Job PurposeThe Payroll, Benefits, and Systems Advisor is primarily responsible for managing and administering the company's payroll and benefits platforms, ensuring compliance with all relevant standards and regulations. This role also involves working with our external payroll and benefit providers, as well as overseeing HR systems and data management to support an effective HR function.
Key AccountabilitiesPayroll Administration:
- Oversee the complete administration of the monthly payroll process for both the UK, including the collection and auditing of all inputs
- Reconcile payroll, benefits, and related data to ensure accuracy.
- Respond to payroll-related queries from employees.
- Coordinate and facilitate quarterly pension governance meetings.
- Manage pension queries and administer auto-enrolment.
- Adhere to payroll policies and procedures, ensuring compliance with relevant laws.
- Identify, investigate, and resolve discrepancies in payroll records.
- Prepare payroll reports for record-keeping and managerial review.
- Lead the preparation of data and reports for P11D, gender pay reporting, and salary review.
Benefits Administration:
- Manage the administration and renewal of the company's benefits offerings, including PMI and life assurance.
- Maintain regular contact with suppliers to build and strengthen relationships.
- Proactively promote the benefits program to ensure employees understand and utilise the company benefits effectively.
- Update records and resolve any issues related to benefits.
- Provide support and guidance to improve the benefits offerings.
Data and Systems Management:
- Collaborate closely with the Head of HR to ensure the effectiveness of HR systems.
- Implement, maintain, and update HR systems and databases.
- Work with HR Advisors/Generalists to update employee records as needed.
- Conduct regular audits on HR data to ensure accuracy.
- Create and amend user accounts as required.
- Serve as the primary point of contact for HR systems support and reports.
- Oversee monthly headcount activities and report on HR KPIs.
- Update organisational charts regularly.
- Analyse and interpret HR trends.
- Provide ad-hoc support within a small, busy, and flexible team.
- Ensure quarterly pensions governance meetings are conducted effectively.
- Implement appropriate audit mechanisms and conduct regular spot checks.
- Ensure data is regularly cleansed and up-to-date.
- Produce accurate and timely reports.
Required:
- Minimum 3 years proven experience in administration, finance or in a payroll position
- Good understanding of payroll practices, auditing and processing
Desirable
- Knowledge of HR systems such as SAP SuccessFactors.
- Experience with P11D reporting.
- Understanding of Gender Pay Gap reporting.
- Experience in managing company benefits and negotiating terms.
