Latham & Bond HR are recruiting for our client, a well-established automotive manufacturing organization. We are looking for an experienced Personal Assistant/Secretary to provide high-level administrative and secretarial support to senior leadership. This role is well-suited to a proactive individual with strong organizational skills and experience in a legal environment.

Key Responsibilities

Executive Support:

  • Provide direct administrative and PA support to senior leadership, ensuring smooth daily operations.
  • Manage diaries, schedule appointments, and organize meetings, ensuring effective time management.
  • Act as the first point of contact, handling correspondence, emails, and calls in a professional manner.

Meeting & Documentation Management:

  • Prepare agendas, take accurate meeting minutes, and follow up on action points.
  • Draft, proofread, and format reports, legal documents, presentations, and correspondence.
  • Maintained organized records and filing systems, ensuring all documentation was up to date.
  • Travel & Event Coordination:
  • Arrange and manage travel itineraries, including flights, hotels, and transportation.
  • Coordinate business events, conferences, and team meetings as required.

Legal & Confidentiality Support:

  • Work closely with the Head of Legal, handling confidential and sensitive documents with discretion.
  • Assist with reviewing contracts, legal paperwork, and compliance documentation.
  • Ensure all legal records and files are maintained and easily accessible when required.

Administrative & Office Management:

  • Oversee general office administration and coordinate office supplies and resources.
  • Support senior leadership with ad-hoc administrative duties to ensure efficient workflow.
  • Handle expense reports, invoice processing, and budget tracking for the department.

Skills and Attributes

  • Proven experience as a PA, Executive Assistant, or Legal Secretary.
  • Legal sector experience (either working in a law firm or supporting a legal team) is highly desirable.
  • Strong diary management, organizational, and prioritization skills.
  • Excellent communication and interpersonal skills with a professional demeanour.
  • High attention to detail, particularly in document preparation and proofreading.
  • Ability to handle confidential information with utmost discretion.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and document management systems.
  • Ability to work autonomously, take initiative, and problem-solve effectively.
