POSITION: PROMOTIONAL PRODUCTS & GIFTING MANAGER

REPORTS TO: DIRECTOR OF INNOVATION

DEPARTMENT: INNOVATION

BASED: GLASGOW

Reporting to our Director of Innovation, our Promotional Products and Gifting Manager will manage end-to-end projects for seasonal and exclusive brand kits, and GWP (gifts with purchase) promotional items. This role focuses on coordinating the development of these kits, sourcing suppliers and manufacturers, and ensuring the timely and efficient delivery of components and final products. You will act as a key liaison between internal teams, external suppliers, and manufacturers to ensure all requirements are met.

KEY RESPONSIBILITIES:

Project Management:

  • Manage the end-to-end lifecycle of holiday & exclusive retailer kits, from initial request to launch.
  • Manage all GWP (gifts with purchase) promotional item projects.
  • Work closely with Supply Chain and coordinate project timelines, ensuring that milestones and deadlines are met.
  • Oversee the progress of multiple projects simultaneously, ensuring they are delivered on time, within scope, and within budget.
  • Collaborate with internal teams, including design, marketing, and supply chain, to ensure smooth project execution.
  • Maintain detailed project documentation, including timelines, budgets, and status reports.

Supplier & Manufacturer Sourcing

  • Identify and source suppliers and manufacturers who can deliver high-quality kits and components that meet project specifications.
  • Evaluate and negotiate with potential suppliers to ensure the best possible terms and quality standards.
  • Build and maintain strong relationships with key suppliers and manufacturers to ensure reliable delivery and resolve any issues that arise during the production process.
  • Work closely with suppliers to ensure components are sourced and delivered in a timely manner, meeting the requirements of each kit.

Kit and Component Management

  • Oversee the procurement of components and materials needed for each kit, ensuring they meet quality and cost specifications.
  • Monitor stock levels and work with suppliers to maintain appropriate inventory levels to meet demand.
  • Coordinate the assembly and packaging of kits, ensuring that all components are delivered and assembled according to project timelines.

Problem Solving & Issue Resolution

  • Proactively identify and resolve any challenges or delays in the sourcing, manufacturing, or delivery of kits and components.
  • Troubleshoot and manage any issues with suppliers or manufacturers, ensuring that the project stays on track.
  • Provide regular updates and recommendations to internal teams to mitigate risks and avoid potential delays.

Communication & Collaboration

  • Serve as the primary point of contact for all project-related inquiries from internal stakeholders and external suppliers.
  • Ensure clear and consistent communication with all parties involved, including internal teams, suppliers, and manufacturers.
  • Provide regular project updates to Director of Innovation, and other key stakeholders, highlighting progress, challenges, and potential solutions.

WHAT WE'RE LOOKING FOR:

  • Proven experience in project management, ideally within product development/FMCG industries
  • Strong experience in buying/procurement - sourcing suppliers and manufacturers, particularly in the context of kits or packaged products.
  • Knowledge of packaging and assembly processes for retail kits.
  • Familiarity with logistics and supply chain management.
  • Excellent organizational skills with the ability to manage multiple projects simultaneously.
  • Strong negotiation and vendor management skills.
  • Ability to work cross-functionally with internal teams and external stakeholders.
  • Detail-oriented with a focus on ensuring quality and meeting deadlines.
  • Strong problem-solving skills and the ability to think creatively to overcome challenges.
  • Exceptional communication skills, both written and verbal.
