As the Supporter Care and Database Assistant at MAP, you will hold a pivotal role in our organization, ensuring the highest standards of supporter care and maintaining the integrity of our crucial database systems. Your responsibilities encompass providing exemplary assistance to our valued supporters, ensuring their queries are promptly addressed and their needs met with efficiency and professionalism. Additionally, you will play a crucial role in database management, meticulously maintaining and updating records to ensure accuracy and reliability.


Duties and key responsibilities


  • Help manage and respond to supporter enquiries by telephone, letter and email. Help to ensure that individual donors are thanked according to internal guidelines.
  • Assist with the Direct Debit claim and the import of regular giving donations including Standing Orders and Payroll Giving.
  • Maintain records of supporter preferences in compliance with data protection legislation, Carry out ad-hoc tasks when necessary, including communicating with donors.
  • Maintain records of supporters and donations in the charity’s database, (Currently, Microsoft Dynamic 365).
  • Maintain records of Gift Aid declarations and assisting with claims and assist with regular income reconciliations.
  • Support the Database Manager to improve the structure of database records, assist with income reporting and compliance with legislation.
  • Support the mission, ethos and values of MAP and represent and be an ambassador for MAP.
  • Support and promote diversity and equality of opportunity in the workplace.

  • Maintain and improve competencies through continuous professional development
  • Abide by organisational policies, codes of conduct and practices
  • Treat with confidentiality any personal, private or sensitive information about individual organisations and or clients or staff and MAP data.


Person Specification


  • Experience of supporter or customer care.
  • Experience of customer relationship management (CRM) databases.
  • Experience of using Microsoft Dynamics 365 is desirable.
  • Experience of transaction processing, e.g. credit cards, cheques.
  • Experience of working with external stakeholder and other suppliers.
  • Good interpersonal skills and an excellent team player. Someone who is open, able and willing to deliver beyond a personal brief.
  • Ability to work well under own initiative, meet deadlines and have a good attention to detail.
  • Interest and ability to learn technical skills relating to the functions of the fundraising database.
  • Good communicator with an ability to share information in clear and concise language.
  • Strong attention to detail
