Job summary

St.Rocco's Hospice is looking to recruit a Clinical Administrator to provideadministrative support to the In-Patient service. To ensurethat relief cover and comprehensive administrativesupport of a high standard is in place to the Clinical team, to enableexemplary service onsite at the Hospice.

Thisrole requires innovative thinking, autonomous working and the ability todevelop strong productive relationships. Excellent communication,organisational, planning, scheduling and problem-solving skills are essential.

15- hours per week and potentially full-time hours will be considered for the right candidate.

Main duties of the job

Support for the In PatientService

To be responsible for ensuring that allreferrals are entered onto the patient administration system, and discussed bythe appropriate team.

Toinput data onto SystmOne, ensuring accurate statistical data.

Toaccurately transcribe clinical letters, minutes, protocols and other correspondence either by tape or handwritten, and any other typing as requested, in a timely mannerand within the specified time scales. Please see Job description for further details.

Job responsibilities

Support for the In Patient Service

To be responsible forensuringthatall referralsareenteredontothe patientadministration system and discussed by the appropriate team.

Tobe responsible for ensuring that any patients records, or communications, arelocated/requested,and to ensure that patient recordsare kept in a neat order, and archived on a regular basis.

To ensurethatany letters requiring signaturesarechecked bythe requesting individual, and signed within an acceptable time scale.

Todevelop and maintain effective office systems, including electronic email, filing, photocopying, faxing, shredding and typing dutiesas required by the ClinicalTeam.

Towork closely with members of the Clinical Team to ensure that the day-to-day activities of a busyworkstation are confidentiallyandproactively managed byutilising systems and procedures forthe management of time, resources and information available.

To be responsible for takingclear, concise telephone messages, ensuring that they are communicated asquickly as possible to the appropriate person/s.

To act as main administrative contact in IPUand provide relief cover in other areas as required.

To maintain confidentiality at all times,dealing with sensitive issues discretely and sensitively.

To act as an advocate and role model hospicevalues and behaviours

GeneralAdministrative Support

Provide relief and additional administrative support to theHospices administrative team, assisting with a variety of tasks anddemonstrating flexibility to address priorities and fluctuations in workload.

Person Specification

Experience

Essential

Experience of working in an administrative role. Experience of working in a customer facing role or dealing with people on a day-to-day basis.

Desirable

Experience of working in a healthcare or clinical setting

Qualifications

Essential

Trained and/or highly experienced in Microsoft Office applications.

Desirable

Educated to A Level or equivalent, or with three years relevant experience.
