Job overview

We are looking for an enthusiastic new member for our Respiratory team.

You will be working alongside our hugely experienced secretary and clinical teams, helping to deliver safe care and a good experience for our patients. 

Good communication and computer skills are required, as is a flexible approach to work. Experience of booking appointments and working in a past paced environment whilst maintaining attention to detail is key. 

Main duties of the job

You will be responsible for day-to-day secretarial activities such as the SLT Therapists diary management and clinic schedules, dealing effectively with patient queries, and other admin duties. You will also be responsible for scheduling patients for laryngoscopy procedures in the endoscopy unit.

Effective communication skills are essential, as is flexibility. You should have experience of office procedures, a knowledge of medical terminology would be useful, and be able to use your own initiative. Good computer skills and excellent customer service are also required.

Detailed job description and main responsibilities

Undertake audio transcription of multi-speciality admin correspondence and any other correspondence ensuring all is prepared for signature promptly and to a high standard. 

Respond to external and internal telephone enquiries from staff, patients and others in an efficient, tactful and diplomatic manner and ensure that any messages/information is passed to the appropriate person quickly.

Communicate with a wide range of staff, patients and visitors to the Trust / Department utilising a variety of communication methods including verbal, electronic and passing information in a format that is appropriate to the individual request

Use databases and computer packages where appropriate to initiate and maintain records and generate statistics for analytical purposes.

Interrogating patient records and data to ensure accuracy and updating Trust systems to reflect any updated information i.e. 18 week pathways and performance information. 

Ensure accurate tracking and filing of patient investigations and correspondence.

Collect and sort incoming mail to be actioned by Medical Secretary / Consultant or other healthcare professionals. 

Provide secretarial and administrative support when other members of the team are absent.

Scheduling laryngoscopy procedures in the endoscopy unit.
