Job summary

Due to retirement Holmes Chapel Health Centre are looking to appoint an experienced forward thinking and reliable Finance Assistant for 24 hours a week over 4 days. Based at Holmes Chapel Health Centre and reporting to the Practice Business Manager you will be responsible for the co-ordination and processing of invoices to suppliers and also making payments to the practice suppliers.

Ensuring transactions are posted accurately to the accounting systems and reconciled is a key part of the role as well as completing payroll with the support of an external payroll company.

As this role is working with Partners financial information a high level of discretion is required. If you have outstanding attention to detail, you can demonstrate excellent finance, IT skills and have the ability to prioritise a busy workload with a very positive approach to work then we would love to hear from you.

Main duties of the job

The Finance Assistant role is to support the Practice Business Manager and the Practice Accountant with all the day to day finance matters regarding the practice.

This will involve processing invoices, making payments for authorisation, liaising with suppliers and customers regarding payments and also reconciling the bank account on the accounting system IRIS.

As the practice has a dispensary these payments are reconciled weekly along with private income payments and also reconciling the weekly petty cash. Monthly VAT returns are also completed as well as any other information needed by the Practice Business Manager and the Practice Accountant.

Payroll is completed by an external payroll company but the role includes preparing all the information required for submission including overtime, sickness, holidays etc and starters and leavers.

Finally the role requires supporting the Practice Business Manager and Partners with any finance admin such as filing, scanning and copying as well as dealing with any general finance queries.

We have a large very supportive non-clinical team and a patient list size of around 13000. We are a large, forward thinking training practice based in the centre of Holmes Chapel.

Job description

Job responsibilities

Process purchase invoices to be ready for payment authorisation before the payment due date and subsequently produce remittance advice notes and send these to suppliers.

Raise sales invoices and send these to customers

Monitor accounts for non payment and delayed payment

Make ledge entries and ensure all entries are posted correctly to the accounting system

Complete VAT reconciliation monthly

Respond to finance queries from both internal and external stakeholders

Review and correct transaction entries as necessary

Reconcile bank statements and assist the Practice Accountant with the provision of monthly accounts

Prepare details for monthly payroll for submission to the external payroll company with the support of the Practice Business Manager.

Perform finance administrative duties including filing copying and scanning

Managing petty cash and keep accurate records of all transactions

Take receipts of cheques, ensure that accurate records are kept and that cheques are deposited at the bank

Resolving any day to day finance queries and supporting the Practice Business Manager with any finance tasks as required

Person Specification

Qualifications

Essential

GCSE or equivalent in English and Maths 2 A levels or equivalent/NVQ Relevant experience in a Finance Assistant role

Desirable

Driving Licence AAT Level 2 in Bookkeeping or Accounting

Recent experience of working in a finance bookkeeping role Experience of working with IRIS Accounting, Xero, Sage or similar package. Good time Management Excellent numeracy skills and good understanding of financial information Able to work to deadlines and work in a busy environment Able to plan work effectively and prioritise key priorities Team player with a positive attitude to work Able to work with sensitive financial data in a sensitive and confidential manner
