Assistant Practice Manager will focus onthe day-to-day operability of the practice, championing Quality Improvement,Confidentiality, Collaborative Working, Service Delivery, Learning andDevelopment and promoting a positive working environment.

The post hours over 5 days,Monday to Friday.

Main duties of the job

TheAssistant Practice Manager is responsible for:Supportingthe practice manager in the day-to-day operations of the practice

Ensuringstaff adhere to policy and procedure at all times

Monitoringcompliance with health and safety legislation,

Developing,implementing and embedding an effective practice training programme for allstaff

ManageCQC compliance registers

Managingthe clinical system

Respondingand resolving all local IT issues where appropriate

Guidingstaff and developing searches and audits on the clinical system

Managingclinical rota and ensure that the clinical session structure is effective,meets the needs of the patients

Producingand implementing an effective practice training programme for all staff

Supportingthe overall practice clinical governance framework, submitting reports for QOF,NIS, enhanced services

Supportthe management team in the compilation of practice reports

Maintainingthe significant event database, providing advice to staff and briefing the teamat meetings as required

Identifyingtrends and devising solutions to reduce risk and repeated occurrences ofsignificant events

Effectivelymanaging DNAs, referred repeat offenders to the Practice Manager where appropriate

The Barkantine Practice is a young and fast-growing NHS practice close to Canary Wharf on the Isle of Dogs, in the London Borough of Tower Hamlets. We look after 27,700 patients and run PCN enhanced clinics for the local 8 GP practices.

Job responsibilities

The following are the core responsibilities of the assistantpractice manager. There may be on occasion, a requirement to carry out othertasks; this will be dependent upon factors such as workload and staffinglevels.

The assistant practice manager is responsible for:

a. Supportingthe practice manager in the day-to-day operations of the practice, ensuringstaff achieve their primary responsibilities

b. Ensuringstaff adhere to policy and procedure at all times

c. Monitoringcompliance with health and safety legislation, providing leadership anddirection for staff

d. Developing,implementing and embedding an effective practice training programme for allstaff (clinical and administrative) liaising with external agencies whennecessary and maintaining a training record

e. ManageCQC compliance registers, supporting the practice manager and CQC registeredmanager

f. Managingthe clinical system, ensuring IT security and IG compliance at all times

g. Respondingand resolving all local IT issues where appropriate

h. Guidingstaff and developing searches and audits on the clinical system

i. Reviewingand updating clinical templates ensuring they relate to current practice

j. Monitorgroup mailboxes, ensuring information is disseminated appropriately

k. Managingclinical rota and ensure that the clinical session structure is effective,meets the needs of the patients

l. Producingand implementing an effective practice training programme for all staff(clinical and administrative) liaising with external agencies when necessary

m. Supportingthe overall practice clinical governance framework, submitting reports for QOF,NIS, enhanced services and other reporting requirements using EMIS/ CQRS / OpenExeter etc.

n. Ensurethe effective use of ERS, EPS and other IT programmes

o. Monitoringand disseminating information on safety alerts and other pertinent information

p. Supportthe management team in the compilation of practice reports

q. Maintainingthe significant event database, providing advice to staff and briefing the teamat meetings as required

r. Identifyingtrends and devising solutions to reduce risk and repeated occurrences ofsignificant events

s. Developing,implementing and embedding the practice audit programme (in conjunction withthe lead nurse)

t. Guidingthe team to reach QOF/NIS targets (supported by the nursing and administrativeleads)

u. Briefingclinicians on performance levels, advising actions to ensure high achievementacross all QOF/NIS areas

v. Effectivelymanaging DNAs, referred repeat offenders to the Practice Manager whereappropriate

Secondary Responsibilities

In addition to the primary responsibilities, the assistantpractice manager may be requested to:

a. Deputisefor the practice manager in their absence

b. Act asthe primary point of contact for NHS(E), CCG, community services, suppliers andother external stakeholders in the absence of the practice manager

c. Assistwith the recruitment of staff as requested by the practice manager

d. Supportthe practice manager in the reviewing and updating of practice policies andprocedures

e. Supportthe practice manager with QI and change initiatives

f. Coordinateportable appliance testing (PAT)

g. Maintainan equipment log

h. Manageasset registers as directed by the practice manager

i. Coordinateall staff absences, maintaining an effective absence register

j. Act asthe communication link between the management team and staff

k. Representthe practice locally as required

l. Maintaina working knowledge of CCG initiatives
