Job summary

We have an exciting opportunity for a countywide Deputy SupplyChain Manager to join our Procurement and Supply Chain department and overseeour Interventional Supply Chain Team.

This is a 12 month fixed term contract.

Our Procurement and Supply Chain team provideprofessional procurement expertise, advice and services across the organisationensuring value for money is achieved, whilst fundamentally supporting thedelivery of high-quality patient care.

Under the direction of the Supply ChainManager, the Deputy Supply Chain Manager roles will assist and deputise for theprovision of a total Supply Chain management process through an exciting phaseof transformation within Procurement & Supply Chain. There will be specificemphasis on our inventory management project, receipt, distribution andcontinuity of supply across all three hospital sites.

Efficiencyand accuracy are key requirements and the successful candidate will be workingin a busy, dynamic hospital environment whilst complementing and interactingwith the wider Procurement and Supply Chain function.

Main duties of the job

The post holder will be responsible for the day-to-daymanagement of the Supply Chain function and the interventional Supply Chainteam. They will undertake Supply Chain duties associated with economicordering, receipting and efficient storage of goods. To promote and maintain acost effective and proactive Supply Chain service in accordance with agreedpolicies and procedures whilst ensuring and taking accountability for safesystems and working environment.

The successful candidate will deputise for the Supply ChainManager and will ensure current processes are followed and adhered to, will implementnew agreed procedures, and will assist in the implementation of a new InventoryManagement System to interventional departments and areas. This will involveadapting to new and exciting ways of working and helping to manage changeacross the team and the organisation.

The post holder will engage with and lead the Supply ChainSupervisors and Coordinators, managing day-to-day activities and workloads,annual leave and absence. The post holder will also be involved with any SupplyChain recruitment activities and will build a thorough understanding ofexisting policies and procedures, and be able to physically support the SupplyChain function when required.

The post holder will also work closely with the DeputySupply Chain Manager for general wards and departments.

Job description

Job responsibilities

1. To be responsiblefor the management of the Supply Chain Function SupplyChain Supervisors and Supply Chain Coordinators.

2. To organise and prioritise theworkloads of the Supply Chain team. Managing these conflictingdemands efficiently and undertaking judgements on correct level of resourcerequired.

3. Manage departmental rotas andensure all duties are covered in a timely manner countywide.

4. Responsible for appraisals,performance and absence management.

5. Responsible for recruitmentactivity for the Supply Chain function.

6. Identify training needs forthe staff within the Supply Chain function and act as a mentorand coach when required.

7. Conduct all Supply Chain duties that include booking in deliveries, deliver goods to the correctlocation and putting away consumable stock items.

8. To undertake activitiesregarding stock movement analysis and re-order level assessment in conjunctionwith Trust wide clinical areas requirements.

9. Implement a programme of Supply Chain reviews to be undertaken with all wards and departments Trust wide every6 months and to ensure all necessary paperwork is filed correctly.

10. To deliver goods to theircorrect end destination and obtain a signed delivery note where applicable.

11. Responsibility to keep up todate with product knowledge in order to provide advice and support to Trustwide Requistioners.

12. Responsible for orderingproducts using the Inventory Management and Trust systems, ensuring accuracy ofquantities and prices in line with stock levels, and ensuring stock iscross-charged correctly through Finance.

13. To monitor and controlreplenishment levels for all ward areas Trust wide. To order and maintainoptimum stock levels and replenish via economic ordering quantities anddistribute out to all clinical areas.Take responsibility for all minimum and maximum top up levels by settingpre-approved limits and taking a fair judgement on appropriate expenditure.

14. Responsible for ensuring the Supply Chain team move and distribute materials using the appropriate manual handlingequipment including trucks, trolleys and cages whilst observing Health andSafety Procedures at all times. Responsible for ensuring Health and Safetyassessments are conducted regularly and all manual handling equipment includingtrucks, trolleys and cages are in a safe working order.

15. Responsible for annual stocktake duties.

16. To be responsible forimplementing and maintaining systems for filing of delivery notes and allassociated paperwork.

17. To participate in trainingsessions to assist in personal and departmental development.

18. To train, educate and giveguidance on ordering procedures to Trust personnel in the light of changingcircumstances.

19. Responsible for monitoringcontract compliance and advise Requistioners on the most efficient orderingprocedures whilst adhering to Trust policies.

20. Arranging cover and reliefduties at other locations to ensure the service runs efficiently.

21. Deal with queries in aprofessional and efficient manner, treating customers as you would wish to betreated and promoting a get it right first time ethos.

22. Provide advice and informationby acting on knowledge gained and ensuring safe medical stock levels aremaintained Trust wide.

23. To use all reportingprogrammes to interrogate systems for product analysis and provide usage datafor budget holders.

24. Be responsible for the day today security of all goods, equipment and materials within the Supply Chain working environment.

25. Co-Ordinate the response toMedical Device Notices and analyse spend data to identify where products havebeen purchased and ensure appropriate recall action is taken with immediateeffect.

26. To actively contribute to theefficiency of the function by embracing the core values of the Departmental andNational Strategies. To provide the level of service and performance to meetthe departmental and National objectives as defined by the Director ofProcurement & Supply Chain and Head of Supply Chain. Thisrequires being flexible in approach to an ever changing, demanding and dynamicNHS working environment.

27. Work with the Procurement teamand co-ordinate new product ranges as part of the Trusts savings work plan.

Qualifications

Essential

Good standard of General Education. Good IT and keyboard Skills. Computer literate.

Desirable

Knowledge and understanding of the NHS. An understanding of the Trusts Standing Financial Instructions and Procurement procedures. or Supply Chain related qualifications

Experience
