Exciting opportunity to work for an established FM service provider situated in North London. The successful candidate will have a proven track record in Facilities Management with a Contract Support / Helpdesk role. Your duties will include all aspects of Helpdesk, day to day Administration tasks, Finance systems working closely with the Helpdesk Manager chasing documentation/Invoices and answering calls and emails.  

Hours of Work / Details:
  • 08:00am to 17:00pm
  • Monday to Friday
  • Office based
  • £30k to £32k
  • 25 days holiday
Key Duties:
  • Plan and arrange call outs, maintenance visits, delivery of materials, Extra Works within contracted SLAs.
  • Create monthly Customer Reports with the Contract Manager.
  • Ensure use of Preferred Suppliers is maximised and best practice “better buying” is in place.
  • Ensure all systems (e.g. MySupplier, Webquote) are in use and kept updated.
  • Ensure integrity of financial transactions for contracts.
  • Attend and actively participate in weekly finance meetings with contract
  • Managers/subcontractors.
  • Create/raise Extra Works jobs.
  • Create accurate POs in a timely manner.
  • Regularly review and process supplier invoices.
  • Raise sales invoices (complete billing) in line with company deadlines at the correct margin.
  • Run and review P&Ls Monthly and influence P&L results.
  • Run and review WIP reports at least weekly.
  • Run an open purchase order report weekly and review all open orders.
  • Run and review Debt reports weekly.
  • Act as primary contact for telephone calls and emails answering them in a timely and professional manner.
  • Log all incoming reactive jobs on the Concept system and allocate to the site team.
  • Follow up on all jobs to ensure completion within the SLA’s.
  • Communicate clearly with the customer on the status of the jobs they have logged, checking that the customer is fully satisfied with the service they received.
  • Build relationships on site, with suppliers and subcontractors to assist with the delivery of a prompt and professional service to the client.
  • Produce and issue PPM’s to the site team.
  • Sign off all reactive and PPM jobs on the Concept system in a timely fashion
  • Produce reactive and PPM reports to form part of the customer and reports.
  • Liaise with the Contract Supervisors/M&E Managers to ensure subcontractors are scheduled to attend site to carry out Maintenance visits.
  • Perform with an understanding of business requirements and changes, ensuring continuous improvement.

  • Must have Contract Support experience
  • Experience working in a fast paced environment
  • Experience with CAFM systems
  • Experience with multiple contracts
  • General administration experience
  • IT proficient
