Business Support Assistant

The shift pattern will be confirmed with the successful applicant (18.75 hours).

The YPIM (Young People in Mind) team provide a service for all children 0-26 years old who are looked after or accommodated by West Dunbartonshire council and/or young people who are vulnerable to homelessness. YPIM offer consultation, support and guidance to foster carers within West Dunbartonshire. YPIM also have a remit to provide advice and consultation to residential staff within each of the three residential children’s houses in West Dunbartonshire.
The purpose of this role is to support the administration/secretarial tasks for the YPIM team. The post holder will be responsible for providing a full range of administration tasks including the provision of administration and secretarial support. This will include data input activity, updating systems (databases), typing including audio typing, the production of complex reports, minute taking and assisting in the preparation of meetings and events organised by the team. The post holder will answer telephone calls and deal with incoming/outgoing mail.
Knowledge, training and experience required:
Essential
SQA- Standard Grades or equivalent including English Proficient in the use of Microsoft Office Software including Microsoft Outlook, Word, Excel, PowerPoint and Access. ECDL or equivalent At least 2 years experience of working in a secretarial/administrative background Excellent typing, including audio, skills with high degree of accuracy and speed Keyboard skills requiring a high degree of speed and accuracy Excellent numeracy skills to be able to work with statistical information and to be able to extract and report on data Excellent interpersonal skills Good planning and organisational skills Excellent communication skills Ability to work as part of a team Flexibility Ability to prioritise work load and exercise initiativeDesirable
