Job summary

We are looking for a Medical Personnel Administration Officer to join our Medical Personnel team based at Wonford House, in Exeter - we are currently working in a hybrid approach; partially at the office and partially from home to meet the service needs. We have dedicated team office space Monday, Tuesday and Wednesday each week and hotdesk availability Thursday and Fridays.

The role is an integral part of the team providing appropriate and informed high quality support and guidance which relates to a range of Medical Personnel HR issues ; ensuring that all advice is in line with Medical Personnel Department procedures, Trust policy and legislation.

You will be responsible for providing a comprehensive administrative support service to the Medical Personnel team and wider Medical Workforce which includes senior managers and clinicians.

The post holder should be able to work efficiently, without direct supervision and manage their own workload effectively.

Main duties of the job

Duties and Responsibilities include:

Provide and receive complex information in relation to HR employment law for Medics. This will include designing job descriptions, producing and amending employment contracts and ensuring the appropriate work permits and professional registrations are relevant and current Contact Agencies to book, extend or cancel locum doctors where appropriate Assess and ensure that all the out of hours Doctor rotas are compliant with legislation Use own judgement when identifying temporary cover required for all out of hours rotas for doctors. Plan and produce the on-call rotas for all Doctors across the Trust. Provide managers with proactive advice and support in relation to recruitment and selection processes, through the adoption of good employment practice in line with Medical Personnel Department procedure, Trust policy and legislation ensuring equality of opportunity is practised in the appointment of staff. Use judgement to ensure a consistent and specialist HR support, guidance, facilitation and advisory service is provided to the Trust so as to ensure employment issues relating to Medical Personnel are addressed and resolved in a timely and efficient manner, reflecting the policies, values and principles of the Medical Personnel department, the Trust, Employment Law and Best Practice guidelines.

Qualifications

Essential

A level, NVQ3, City & Guilds or equivalent qualification or experience IT qualification, for example ECDL or relevant working knowledge and experience

Desirable

Hold a Level 3 CIPD qualification, or qualification with Human Resource modules, or equivalent experience.

Experience

Essential

Experience of dealing with all levels of staff within a large organisation both on the telephone and in person Experience of working without supervision and initiating own workload Experience of planning and completing projects.

Desirable

Recent experience of working within an HR environment and with a range of administrative and HR procedures. Experience in working with NHS terms and conditions. Experience working with Medical Personnel.
