We are now recruiting for an Sales Order Processor.

The Sales Operations Team is an integral part of the Sales process at Focus Group. This team processes the Sales Orders from our sales team so that the sale is registered, billing set up and the order passed onto the delivery teams so that it can fulfilled (“Sales Logging and Order Processing”). There is the further requirement that once the order has been installed to review for the purposes of cost, sales commissions and billing (“Final Costings”).

This is a single team, however with the distinct requirements, the Sales Operations Analyst role takes on either the Sales Logging or the Final Costings.

Principal Responsibilities & Duties

  • Validate that the order is correct and appropriate contract information has been provided.
  • Log the sale in our core platform (Synergy – this is an internally developed platform) to calculate and register the value of the sale.
  • Set up required customer billing.
  • Send to the delivery (installation) teams the details of the order so that they can implement the order as required by the customer.
  • Liaise with sales teams if there are questions regarding the order placed.
  • Undertake quality checks, such as “first bill checks” to make sure that the data submitted is accurate.
  • Continually find ways to improve and streamline procedures to improve efficiency.
  • Managing the Final Costing inbox (this is how work is received).
  • Check the Final Costing sheets against sales log and paperwork, raising one off invoices where required, checking and setting up billing.
  • Completing Final Costings for multiple companies in the Group, this includes Focus South, Online Systems, Resource, EVAD, Incom, GB Tech, SWC, STL and Highnet using various versions of excel final costing sheets.
  • Liaise with project managers, sales agents and sales orders regarding discrepancies or potential errors.
  • Invoice and close off for commission for those orders sent to the Final Costing inbox.
  • Enter any orders onto the Excel Commission spreadsheet that need closing for commission.
  • Set up billing for leased lines and close leased line orders off for commission.

  • A real team player who collaborates with all members of the team and business, one who is willing to listen, as well as share knowledge, help understanding and develop themselves and ideas across the team.
  • Actively contribute to ensuring an efficient and cohesive team effort.
  • Taking the initiate to investigate the current processes and find ways improve and streamline procedures.
  • Excel proficient and strong numeracy skills.

This role is a 12 month fixed term contract on 25 hours a week.
