Property Manager

Job Overview:
The Commercial Property Manager will be responsible for the day-to-day management of the retail park portfolio. The role involves service charge budgeting, tenant relations, and ensuring the properties are well-maintained and compliant with legal and health & safety regulations. The successful candidate will maintain strong relationships with tenants, oversee maintenance activities, and manage service providers to ensure a high standard of property operations.
Key Responsibilities:
- Service Charge Budgeting & Financial Management:
- Prepare, manage, and monitor annual service charge budgets, ensuring transparency and cost-efficiency.
- Monitor expenditures and liaise with finance teams to ensure accurate accounting of all property-related costs.
- Report on budget performance and variances.
- Tenant Relations & Lease Management:
- Act as the main point of contact for tenants, addressing their needs and concerns in a timely and professional manner.
- Maintain up-to-date lease records, ensuring compliance with lease terms
- Facilitate tenant communications, including notices, renewals, and lease negotiations.
- Property Maintenance Supervision:
- Oversee the general upkeep of the properties, ensuring they are in good repair and maintaining a high standard of cleanliness and presentation.
- Conduct regular inspections of properties and estates to identify maintenance needs and ensure timely resolution.
- Manage all reactive and planned maintenance, coordinating with contractors as needed with the support of the wider team.
- Service Provider Management:
- Hire and oversee external service providers, including cleaning, landscaping, and security teams.
- Negotiate contracts and ensure service level agreements (SLAs) are met.
- Monitor the performance of service providers and address any issues as they arise.
- Compliance & Health and Safety:
- Ensure all properties comply with health and safety regulations, conducting regular risk assessments and audits.
- Implement safety protocols and maintain up-to-date safety records.
- Coordinate with legal and compliance teams to stay updated on changing regulations.
- Emergency Plans & Risk Management:
- Develop, implement, and oversee emergency response plans for various scenarios such as fire, flooding, or security issues.
- Ensure all tenants and service providers are aware of emergency procedures.
- Work with security providers to ensure appropriate security measures are in place.
- MRi System Management:
- Maintain accurate and up-to-date records using MRi software, ensuring all property, lease, and tenant information is properly documented.
- Generate reports and data as required to support property management functions with the support from the wider team.
Qualifications and Experience:
- Bachelor's degree in Property Management, Real Estate, or a related field (preferred).
- Proven experience in managing commercial properties.
- Strong knowledge of service charge budgeting and tenant relations.
- Familiarity with property management software (experience with MRi is highly desirable).
- Excellent communication and organizational skills.
- Knowledge of health and safety regulations and emergency planning.
