Job summary

We are currently recruiting to a General Medical Administrator who will work across more than one administrative functions within the practice. These are varied roles and will suit someone who likes variety in their day-to day work and is a keen learner. The positions are open to applicants looking for part-time hours or full-time hours. As a practice, we are now open on Saturdays (9am-5pm) and on Monday evenings until 8pm to provide an extended access service to our patients - these hours could be part of your working week.

Main duties of the job

As a General Medical Administrator you will provide extratime and expertise to support patients and carer's in preparing for, or infollow up, clinical conversations they have with primary, secondary careprofessionals. You will work closely with the clinicians and other primarycare professionals within the practice and be part of the practice multi-disciplinaryteam.

Your work may involve answering telephone's, booking appointments, providing a front desk reception service, and working to protocols to summarise and code relevant information from patients clinical records into the practice computer system. It may also involve processing prescription requests and dealing with prescription queries, as well as more departmental specific administrative tasks.

The ideal candidate will need to be proficient with IT and have a kind and caring manner as the role will involve contact with our patients. Previous experience of GP Practice is ideal, however training will be provided regardless.

Ashfields Primary Care Centre is a large practice looking after just over 28,000 patients. The Practice team comprises multiple administrative departments, a large varied clinical team and hosts a selection of community clinics.

Job responsibilities

Tobe responsible for undertaking a wide range of administrative duties and theprovision of general support to the multidisciplinary team.

Duties can include but are not limited to, greetingand directing patients, effective use of the appointment system, bookingappointments, processing of information and assisting patients as required,processing prescription requests, providing administrative secretarial support. To act as the central point of contact for patients,the distribution of information, messages and enquiries for the clinical team,liaising with multidisciplinary team members and external agencies such assecondary care and community service providers.

Thefollowing are the core responsibilities of the role. There may be on occasion,a requirement to carry out other tasks; this will be dependent upon factorssuch as workload and staffing levels:

a. Act as a first point of contact for our patients

b.Processpersonal, telephone and e-requests for appointments

c.Answerincoming phone calls, transferring calls or dealing with the callers requestappropriately

d.Signpostpatients to the correct service

e.Initiatingcontact with and responding to, requests from patients, team members andexternal agencies

f. Scan and code relevant documents to electronic Health Record

g.Actionincoming emails when necessary

h.Photocopydocumentation as required

i.Dataentry of new and temporary registrations and relevant patient information asrequired

j.Inputdata into the patients healthcare records as necessary

k.Cull and sort patient paper Health Record and letters in preparation for summarising

l.Manageall queries as necessary in an efficient manner

m.Carryout system searches as requested

n.Provide Support to vulnerable patients including palliative care, cancer care, veteran support etc.

o.Supportall clinical staff with general tasks as requested

p. Help to raise awareness of health promotion and NHS health checks in practices
