Job summary

Here at the Mid Yorkshire Trust, an exciting opportunity has arisen for aSupervisor within the Radiology Reception to become a key role within ourdepartment. We are lookingfor a highly motivated, approachable, enthusiastic individual to undertake thisrole. Your main role will be supervising the day to day workloadof clerical officers across the sites within the reception team.

Customer care standards are high within the admin team so if you want tomake a difference to our patients and enjoy patient contact then this is anideal role for you.

The core hours will be Monday to Sunday between till hours, across all of the Trust sites.

Main duties of the job

The post offers an excellent opportunity to utilise your communication skills within an expanding and exciting service, lead and empower a team in order to improve the experience for our patients. The admin service provides support to our patients who require Plain Film Radiography (X-ray), Ultrasound, Obstetric Ultrasound, MRI, CT, Fluoroscopy, Mammography and Interventional Radiology. The post holder will work within the Admin team in the capacity of supervisor, alongside the team leader, leading and empowering the team, completing cross site rotas, ensuring that KPI's and performance targets are met. The post holder must have excellent communication skills, be adaptable and flexible to pressures, and be able to use own initiative.

Job responsibilities

To supervise the workload of clerical officers within thedepartment to ensure the smooth running of the reception area.

To supervise the clerical staff in their day-to-day dutiesproviding assistance with queries and problems in conjunction with the Managerwhere necessary.

To provide staff information to the appropriate Team Leader/Managerwith regards to annual leave, study leave and sickness absence.

To complete the work rota for staffing within the receptionteam.

To record monthly sickness if required.

To assist the Team Leader/Manager where appropriate withrecruitment and selection of clerical staff, including membership of interviewpanels.

To assist the Team Leader/Manager with utilising IT systemsor ensuring paper forms are completed and sent to relevant ward/departments ina timely manner in line with the ward/departments Key Performance Indicators.

To attend ward/departmental meetings and where necessarytake notes and transcribe as necessary.

To provide training and support to all relative members ofthe team as necessary in the course of Trust business, particularly when new ITsystems and clerical procedures and policies are introduced.

To provide effective communication with all levels of staff/patients/visitorswithin the service and throughout the Trust.

To answer telephone calls in a timely manner and deal withall enquiries effectively, and where necessary escalate to the appropriateperson to rectify any issues/queries accordingly.

To assist with the confidential management of records andensure that all documentation is handled appropriately in line with trustpolicies.

To maintain appropriate stock control and raise requisitionsfor their area of responsibility as required.

To be responsible foridentifying own role-related objectives and training needs as part of the staffappraisal programme.

To conduct staff appraisals forteam members as directed by the Team Leader/ Manager.

To oversee and update the localinduction policy for new clerical officers.

To make sure that all clerical officers/clerks undertakemandatory training.

Person Specification

Qualifications

Essential

Sound educational background (4 GCSEs, grade C or above). NVQ3 or equivalent in Business Administration / or willingness to work towards ILM qualification.

Desirable

Clerical/office qualifications. ECDL.

Skills and Abilities

Essential

Proven ability to prioritise and work efficiently. Proven ability to problem solve and work on own initiative. Able to communicate clearly and concisely over the phone and face to face with all grades of staff and members of the public. Able to work without direct supervision. Able to work as part of a team.

Experience

Essential

Proven experience of utilising computer information systems. Proven experience of working in an organised and logical manner. Experience of office working practices.

Desirable

Experience of working in patient centred environment. Experience of working in a supervisory position.

Knowledge and Awareness

Essential

Understanding and knowledge of Caldicott/Data Protection Act. Awareness of own limitations.

Desirable

Awareness of Health & Safety issues. Awareness of Moving & Handling issues.

Personal Attributes

Essential

Diplomatic in sensitive situations involving staff. Punctual. Professional in appearance and conduct. Adaptable to a changing environment. Adaptable and flexible according to the demands of the service.
