Support Medical Secretary

Job summary
We are looking for an experienced, highly motivated and enthusiastic Medical Secretary to provide secretarial and administrative services in the Urology Department in the Princess of Wales Hospital. Working as part of a friendly administration team you will have excellent communication skills and be able to work calmly under pressure using your own initiative, with an ability to prioritise work to meet deadlines. The ideal candidate will need to have exceptional typing skills and will be competent in audio-typing. You will need to have excellent organisational and time management skills to co-ordinate and manage clinical diaries, clinical activity and ensure workload is prioritised to ensure the best possible patient care. The post holder will have the ability to use tact and diplomacy and be aware of the high level of confidentiality within their day to day responsibilities. Experience of working in a similar role is essential and knowledge of Health Board systems is desirable, although all training will be provided. The ideal candidate must have a sympathetic nature and an exceptional telephone manner.
Main duties of the job
The post holder will provide a comprehensive and high quality secretarial and administrative support to the Consultants, doctors and other professionals within a specific department in the Urology Department.
The post holder will be expected to liaise in a professional manner with colleagues, visitors and parents/guardians and undertake a wide spectrum of administrative and secretarial duties.
The post holder will be expected to manage and prioritise their own workload using experience and initiative. The post holder will work independently to provide secretarial and administrative office function, adhering to UHB policies and procedures.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Qualifications
Essential
RSA/OCR Stage II/III or equivalent in word processing. Good standard of education Comprehensive knowledge of medical/surgical terminology.
Desirable
ECDL (European Computer Driving Licence) or similar qualification. Knowledge of University Health Board procedures. Medical Secretary qualification eg. AMSPAR.
Experience
Essential
Previous experience in a secretarial role. Experience of working in an office environment. Ability to prioritise and manage own workload. Knowledge of the Welsh PAS (Myrddin) system.
Desirable
Experience of working in a hospital environment. Experience of supervising staff.
Skills
Essential
Excellent keyboard and audio typing skills. Excellent communication and telephone skills. Able to deal with patients and relatives in a sympathetic manner. Ability to communicate with staff at all levels. Confidentiality and diplomacy. Excellent organisational and time management skills.
Desirable
Setting up office systems. Ability to take shorthand. Ability to speak Welsh.-
