Job summary

An opportunity has arisen for a Full Time ( hrs per week) Newborn Screening Administrator to join the Newborn Screening team based at our Regional Office University Hospital Wales Cardiff.

The successful candidate will be required to work as part of the team responsible for ensuring the successful delivery of the Newborn Hearing and Newborn Bloodspot Screening Programmes in Wales. They will be responsible for providing essential administrative support to ensure the efficient operation of the failsafe functions of both programmes.

This is a busy and varied role, which requires the ability to deal with a wide range of stakeholders, tasks and deadlines. There is a requirement to organise, prioritise and plan your workload in order to achieve your objectives. Team working is essential for this role along with excellent telephone skills and a high level of accuracy when entering participant pathway information and data.

Main duties of the job

To provide high level administration support to the Newborn Screening region. This includes screening pathway administration and failsafe support for both the Newborn Hearing Screening Wales (NBHSW) programme and Newborn Bloodspot Screening Wales (NBSW). Additionally, the post holder will be expected to provide secretarial and general administrative support to regional management teams.

The post holder will be required to operate information systems to accurately process invitations, appointments and results in line with programme policies and procedures. The post holder will be part of the validation processing ensuring that babies are managed appropriately.

Job responsibilities

Main Duties and Responsibilities Newborn Hearing Screening Wales (NBHSW)

The post holder will be required to operate the administration and IT systems in order to co-ordinate information on all newborn babies to enable the screeners to carry out tests within the hospital setting or local community. The administration support will also liaise with the local audiology departments to confirm assessment appointments and ensure all relevant follow up information is recorded appropriately.

Core duties

To provide administration and full secretarial support to the local management team Operate administration and IT systems in order to enable the screeners to carry out tests within the hospital setting or local community To undertake daily manual registrations and updates on All Wales Newborn Hearing Screening system identifying and resolving queries in liaison with Child Health Departments To act as first point of contact for parents contacting the service and provide appropriate advice, dealing with general enquiries over the telephone and parents requesting a referral to audiology To liaise with the local audiology departments regarding referrals, ensuring referrals from the screen are received and actioned and all relevant follow up information is recorded appropriately To liaise with midwives, health visitors, and other screening units across Wales and England, for the purpose of obtaining screening information Co-ordinate local information to ensure all tests are arranged for all newborn babies and maintaining accurate records to ensure that babies do not become lost to follow-up at any stage of the screening and assessment process Maintain a stock control system for both screening consumables and general stationery for administration processes within the Division ensuring adequate stock levels at all times. Processing key failsafe checks Inputting incident information onto DATIX Filing Other administration work consistent to the banding as the programme develops

Main Duties and Responsibilities Newborn Bloodspot Wales (NBSW)

Core duties

Ensuring new births are loaded daily to NBSW Processing and updating failsafe reports Co-ordinate local information to ensure all tests are arranged for all newborn babies and maintaining accurate records to ensure that babies do not become lost to follow-up at any stage of the process Contacting Health Visitors, Midwives, Neonatal and Paediatric Units and laboratories to resolve exception reporting Printing result reports from the NBSWS clinical information system Issuing normal results to parents, Health Visitors and GPs Requesting repeat samples from Midwives, Health Visitors, Neonatal and Paediatric units Provide cross-cover on an all-Wales basis, committing to the all-Wales NBSW annual leave rota Ordering and issuing test cards/envelopes to sample takers and maintaining sample taker registrations on the database Auto mailing Filing Inputting incident information onto DATIX Other administration work consistent to the banding as the programme develops Person Specification
