Job summary

An exciting new role has been created as part of the Smokefree Generation ambitions. The Board at West Suffolk NHS Foundation Trust signed the NHS Smokefree Pledge in September 2024 and as part of this commitment, working with Suffolk County Council Public Health and Communities team, we need a tobacco dependence administrator to join the existing tobacco dependence team.

We want to expand the service to support people to stop smoking whilst visiting our emergency department and site, with continued support in the community after their visit. In addition a service will be developed to support staff to stop smoking at work and remain smokefree.

This programme of work aims to prevent health complications and address the health inequalities caused because of smoking by offering treatment and support to people who smoke as well as reducing the harms of second hand smoke on our hospital site. You will join the tobacco dependence team within the Trusts public health team, reporting to the tobacco dependence lead.

Main duties of the job

You will have the opportunity to work confidently across the trust. You will provide direct support to the tobacco dependence team and people under their care. You will work closely with hospital teams to further build their knowledge, skills, and confidence in supporting people to stop smoking long-term by identifying people who smoke and treating tobacco dependence.

There will be a requirement to build strong relationships with partner agencies. Effective communication skills will be required, working with a range of stakeholders including patients and public representatives. In supporting delivery of the 'Smokefree Generation', you will need to complete the required training with the National Centre for Smoking Cessation Training (NCSCT), Personalised Care Institute, and other trust training offers as appropriate.

Job responsibilities

supporting direct delivery of follow-up stop smoking treatment, support and advice in line with the National Centre for Smoking Cessation Training (NCSCT) guidance

providing and being the first point of contact for enquiries, referrals or requests and patient follow-up by phone, text message, post or email

building strong and proactive relationships with clinical and ward teams, and wider trust colleagues alongside the tobacco dependence lead

supporting tobacco dependence health promotion activities across the trust

organising relevant training and education (for example, Very Brief Advice (VBA) and Making Every Contact Count (MECC)) alongside the tobacco dependence lead, local authority commissioned services or other colleagues

supporting administration of quality improvement projects related to tobacco dependence, treatment and support

ensuring effective administration and recording of patient records, assessments, audits and other assurance and compliance documentation, including for digital solutions offering support and follow-up

providing administrative support to the trusts tobacco dependence team. Including, coordination of meetings, teleconferences, training and interviews, and provision of administrative support for those meetings as required (including but not limited to room bookings, catering requests, paper circulation and minute taking). GCSE 4-9 (A-C) in maths and English

Health related level 3 achievement or willingness to undertake health related qualification(s) NCSCT Core Knowledge and Practice Skills

Experience and Knowledge

Experience applying a wide range of IT skills and demonstrable recent experience of word processing, databases, spreadsheets, PowerPoint, videoconferencing, video calling and email Experience of providing administrative support in a busy environment Experience of working well with colleagues and patients/clients/users
