Job summary
Ward 31 is DMHs Trauma and Orthopaedics Ward(Non-Elective). This roles purpose is to provide administrative support to theclinical ward team and direct queries to the most appropriate clinical personon the ward. This role is a fundamental component to effective patient flow onthe unit. The role is also a key point of contact for patients, relatives,carers and visitors
Main duties of the job
Typicalduties of this role include but are not limited to
receive patients andvisitors to the ward
input patient admission,attendance, transfer and discharge data to the necessary patient administration& information systems, ensuring patient and GP details are accurate andupdated as necessary To arrange patient follow up and other appointments, asrequired
provide administrative supportto ward-based clinics, as required
deal with telephone enquiries, taking andconveying messages appropriately
sort incoming mail andprepare outgoing mail for posting
prepare patient admissionpacks, as necessary
maintain temporary paperpatient records during admission, ensuring that each item is correctly barcodedfor scanning into the Electronic Clinical Document Management System (ECDMS)
maintain accurate ward bedboard (until e-obs system fully implemented)
maintain ward staff board
maintain ward informationboard
Toliaise with staff bank regarding shifts requiring nursing/HCA cover, asdirected by the nurse in charge

We provide hospital services from two acute sites - Darlington Memorial Hospital and University Hospital of North Durham. We have a centre for planned care in Bishop Auckland and provide care from community hospitals in Chester-le-Street, Shotley Bridge, Barnard Castle, Sedgefield and Weardale as well as over 80 other community based settings and providing care in patients' homes.

Job description
Job responsibilities
Toreceive patients and visitors to the ward
To input patient admission, attendance, transfer anddischarge data to the necessary patient administration & informationsystems, ensuring patient and GP details are accurate and updated as necessaryTo arrange patient follow up and other appointments, as required
To provide administrative support to ward-based clinics,as required
To deal with telephone enquiries, taking and conveyingmessages appropriately
To sort incoming mail and prepare outgoing mail forposting
To prepare patient admission packs, as necessary
To maintain temporary paper patient records duringadmission, ensuring that each item is correctly barcoded for scanning into theElectronic Clinical Document Management System (ECDMS)
To maintain accurate ward bed board (until e-obs systemfully implemented)
To maintain ward staff board
To maintain ward information board
To liaise with staff bank regarding shifts requiringnursing/HCA cover, as directed by the nurse in charge
To undertake elements of ward check-list, as required (egVTE completion)
To ensure paper laboratory results are made available toclinical teams for verification
To undertake delivery of investigation requests torelevant hospital departments
Photocopying as required
To maintain adequate levels of ward stationery andsupplies, using CARDEA as required
To requisition repairs as necessary
The post holder holder may be required to undertake therole of Information Asset Administrator or Information Asset Owner to providesuppo rt for the control and administration of information assets within theirarea/department (details available on the Health Informatics web page)
To provide cover as required during absence of colleagues
To assist in auditory purposes andpresent / manage data for clinical governance

Good Communication Skillls both verbally and over the telephone To manage complex situations and provide support to clinical staff, patients and relatives. Act as the first point of contact for the ward and providing relatives with support information and directing queries and clinical updates. Good filing skills. Able to perform and complete auditory work. Work as a team to drive and improve standards. Assist the Ward Management team with sensitive and complex requirments which require a high level of sensitivity and professionalism.
Desirable
Previous experience as a Ward Clerk in a busy acute ward.-
