Job summary

Gloucestershire ICB Quality Team have an exciting opportunity for afull-time Personal Assistant to the Chief Nursing Officer and Chief MedicalOfficer.

Main duties of the job

You will have responsibility for supporting the CNO and CMO and will be highly organised. You will be expected to carry out all PA duties including, but not limited to; diary organisation, meeting administration and email correspondence on their behalf.

Job description

Job responsibilities

The successful candidate will have strong administrative andcommunication skills, and the ability to work on their own initiative.Experience within health and care settings, or as a PA would be an advantage.

Ability to undertake all statutory and mandatory training (subject to Occupational Health clearance) Professional, calm and efficient manner. An ability to maintain confidentiality and trust. Positive and flexible approach to work.

Qualifications

Essential

Business or administration relevant degree or demonstrable equivalent experience gained through work based practice and development. Plus further training and experience to post graduate level and knowledge of business case procedures, range of computerised software, managerial knowledge and project monitoring. IT Microsoft Office Qualifications or work based experience in Word, Excel, PowerPoint, Outlook.

Desirable

RSA Stage III or 60wpm typing speed. Audio Typing.

Experience

Essential

In-depth experience as a personal assistant to a Director. Previous extensive experience as a secretary. In-depth experience in taking formal minutes and notes at Director / Board meetings. Good knowledge of office procedures. Ability to analyse, interpret and compare complex situation with a range of factors / options. Ability to write and implement new policies and reports. Ability to write formal letters and correspondence.

Professional / Managerial / Specialist Knowledge

Essential

Competent at understanding matrix relationships, key personnel and policies and procedures. Demonstrate record of sharing knowledge with colleagues.

Personal Skills Abilities And Attributes

Essential

Advanced administrative skills and the ability to handle all contacts with finesse and diplomacy. Ability to handle and deal with sensitive and confidential information with discrete and absolute professionalism. Ability to work under pressure alone and as part of a team. Ability to use own initiative and make sound judgement when dealing with queries whether internal or external, including MPs, Councillors, members of the media and public. Outstanding organisational and time management skills. Proven experience of dealing competently with complex items / items of a confidential nature. Ability to gain credibility with both internal and external stakeholders. Excellent verbal and written communication skills. Excellent interpersonal and influencing skills, including diplomacy and tact. Good interpersonal aptitude and ability to work with people at all levels. Ability to use initiative and work autonomously. Good presentational ability and an eye for detail. Aptitude for learning quickly. Proven ability to take the initiative and focus on customer service.
