Job summary

We are seeking an enthusiastic Safeguarding Administrator to join our established team and be a part of a company that really makes a difference.

Main duties of the job

You will be based in our GP surgery, and will be responsible for providing efficient and comprehensive safeguarding administrative support to the Practice Manger, and the safeguarding, clinical and administration teams, supporting the practice’s safeguarding systems and processes, assuring compliance and delivery of legislative and regulatory duties.

This is an important position within our business, and you will be expected to provide a friendly and supportive environment for patients and visitors.

You will also be relied upon to provide an essential support function to the clinical and management teams, so that they can deliver the best care and provide the full range of NHS Primary Medical Services. You must work with autonomy and a high degree of confidentiality, sensitivity, discretion, empathy and tact.

To provide a comprehensive and confidential administrative and secretarial support service for the safeguarding processes within the practice, and external groups. Administration, preparation and circulation of agendas, minutes and supporting documentation, venue booking, equipment requirements, guest speakers, refreshment arrangements etc.

Administration, preparation and circulation of agendas, minutes and supporting documentation, venue booking, equipment requirements, guest speakers, refreshment arrangements etc. As requested, to attend meetings to record notes, minutes and action required which may be at any of the practice’s sites. To work flexibly and responsibly, as an individual to ensure the efficiency of administration and secretarial support, providing cover for colleagues during periods of annual leave/absence to ensure the consistency of the service. To produce correspondence, reports, tables and other documents in an accurately presented format utilising the IT systems, e-mail, word processing, Excel, PowerPoint and other software packages. To access the clinical systems as and when required to obtain necessary information and ensure correct process for transit/handling of patient records and handling of sensitive/confidential information. To ensure that an efficient and effective brought forward system is available for the Safeguarding Team, ensuring that appropriate supporting documentation or files are readily available in advance of business commitments. To support with safeguarding filing systems, both paper and computerised, ensuring compatibility of files, easy access, making maximum use of shared information, electronic filing and software packages and ensuring confidentiality of stored documentation and adherence to organisation policy and process. To provide support with key projects on behalf of the practice. These projects include development and maintenance of a system to ensure policies/procedures are updated and distributed. Support the practice with answering of calls during peak times.

Experience of working in a safeguarding role in a healthcare setting Excellent customer service skills both on the telephone or face-to-face. Professional and efficient.
