Job summary
Suffolk and North East EssexIntegrated Care Board have an exciting opportunity for an experiencedadministrator who will provide efficient administrative and comprehensivebusiness support, which includes working on own initiative, being accountablefor assigned administrative procedures and specific work projects. Thepost-holder will be able to demonstrate a high level of organisational skillsand a willingness to develop their role within this specialist area ensuringthat a high-quality support service is developed and maintained.
Please note, due to the ongoing cost reduction programme and restructure underway at SNEE ICB (due to end in Summer 2024), prior consideration for this role may be given to existing staff who are affected by this programme and this role may be removed from the recruitment process at any time.
Main duties of the job
To provide an efficient and comprehensive business support,administrative and clerical service, including working on own initiative, andbeing accountable for assigned administrative procedures and specific work projects.The post-holder will be able to demonstrate a high level of organisationalskills and a willingness to develop their role within this specialist areaensuring that a high-quality support service is developed and maintained.
Key responsibilities
1. Toprovide efficient and confidential administrative support.
2. Tohelp manage and screen emails, being aware of sensitive/contentious issues andinformation and prioritise as appropriate. Highlighting urgent emails, draftingresponses and proof reading of emails.
3. Tomanage calendars, responding to calendar invitations and ensuring access torelevant documentation for meetings.
4. Toset up meetings as required and prepare agendas, take minutes and distributenotes/action logs of meetings including typing up discussions.

Knowledge, Training & Experience

Educated to NVQ 3/RSA 3 level OR equivalent level of significant previous proven experience. Significant administrative experience including initiating and maintaining office systems Demonstrable experience in dealing with the public and with sensitive and confidential information. Knowledge of a range of full administrative procedures diary management/electronic filing systems etc. Excellent knowledge of IT systems and software programmes such as Outlook, Word, Excel and PowerPoint Understanding of Data Protection Legislation Experience of working within a diverse and challenging environment, where priorities change and adjustment to working practices are made. Experience in minute taking of complex formal meetings, ensuring a high degree of accuracy. An understanding of when to escalate issues arising with appropriate team member. Experience of working under pressure and able to multi-task. Proven organisational and planning skills. Experience of ensuring accuracy and attention to detail.
Desirable
Experience of working in a Health Care environment. Awareness of a range of Health Services provisions. Knowledge of NHS issues.
