Job overview

Working Part time: 22.5 hours per week

The successful candidate will provide an efficient and comprehensive support to the Divisional Director/Heads of Department and Divisional Senior Managers, undertaking full range of responsibilities associated with the post.

The duties will include using discretion, maintaining confidentiality, be able to work unsupervised and support the management team with the co-ordination of projects as required.

Main duties of the job

Provide a full secretarial service to the Divisional Director to include audio typing, copy typing the taking and transcription of meetings. Attend meetings, transcribe the minutes, follow up agreed actions and ensure reports required are produced. Manage and maintain the diary and commitments of the Divisional Director, taking responsibility for scheduling meetings and determining appropriate access.Deal with telephone enquiries, emails and visitors taking appropriate action and advise as necessary.Arrange meetings, away days and business planning sessions including hospitality arrangements and organise any travel and accommodation arrangements.To co-ordinate the recruitment process of Senior Managerial Staff within the Division including preparation of recruitment packs, site visits and induction training
