The shift pattern is Mon-Friday
NHS Scotland is reducing their full time working week from 37.5 to 37 hours per week from 1 April 2024 but with no change in pay. This reduction will also be applied pro rata for part time staff. This advert and any subsequent offer/contract of employment therefore reflects the new working hours. However, as not all service areas will be able to adopt the 37 hour working week immediately from 1 April 2024, you may be required to work up to an additional 30 minutes per week for a temporary period for which you would be paid until the service you are working in changes rosters or working patterns to accommodate the new reduced working week. To provide clerical/audio/copy typing and receptionist support to a multidisciplinary team offering occupational health services to employees of Greater Glasgow and Clyde and other outside organisations and agencies that have contracts with this service.
Operation and maintenance of the department’s cohort database on a daily basis. Assessing any problems arising from this and reporting to Secretary/Administrative Team Leader. To correlate and maintain on a daily basis departmental nursing, medical and physiotherapy diaries to successfully arrange clinic appointments and case conferences. Cancelling and re-arranging clinics at short notice by contacting clients and/ or managers, to explain reasons for postponement and to issue new dates and times. Initiate and maintain on a daily basis individual health records and assume responsibility for their security and confidentiality. Ensure the systematic updating and maintenance of all other recording systems within the department.
Answering telephone enquiries on a daily basis, giving advice, assessing messages and information and/or redirecting as appropriate. Responsible for the operation and maintenance on a daily basis of the recall database for immunisations, health surveillance, at risk assessments, audiograms and vdu assessments in accordance with appropriate schedules and guidelines. Assists in the issuing of correspondence to each client to be recalled to the service and responsible for updating continuously the database accordingly. Process and log twice daily mail received into the department. Match incoming mail to existing client file and forward to the relevant clinician.
