Job responsibilities

Supporting the Pre-Assessment Clinic Processes

Act as a first line contact for relatives and visitors to the pre-assessment clinic. Respond appropriately to queries in a timely and helpful manner. To be responsible for data accuracy pertaining to patients attending the pre-assessment clinic. Updating the relevant software systems to ensure accurate records are maintained. Answer telephone calls from patients, relatives, doctors ensuring that they are passed onto the appropriate person in a polite and professional manner. Management of Medical Records To ensure that medical records are readily available for patients attending the pre-assessment clinic where appropriate. Ensure patients records are kept up to date and in good condition, filing paperwork correctly. Ensure that all case notes required are delivered to the appropriate area in a timely manner and stored in the designated secure areas in line with the Trust confidentiality and data protectionpolicies.

Communication

To deal with all direct enquiries as promptly and efficiently as possible, maintaining effective lines ofcommunication to all members of the team. To answer telephone queries and to accurately relay messages where necessary, ensuring that any action requested is undertaken in a timely fashion. To proactively and routinely assist any patients with a disability, underlying illness/condition that may require additional support or help whilst using the services within the Pre-Assessment clinic.

Stock and Equipment Management

To be responsible for establishing and maintaining an effective stock control system. This is to include placing orders via KFM Procurement. Maintain records of expenditure and ensure that information is readily available for budgetary control purposes

Administrative Support

Assist patients where necessary in completing questionnaire so it is available for the nurse assessments. Daily office routines to include: receiving and sorting incoming post, filing and photocopying. Organise and maintain a robust filing system.

General

To observe the general responsibility of all staff under the Health & Safety at Work Act. To maintain strict confidentiality of staff and patient records, in line with Trust Policy: any unauthorised breach of confidentiality will result in disciplinary action. Communication and Relationship Skills

Essential

Excellent oral and written skills are essential with a professional telephone manner. GCSE A-C grade in English or equivalent. Experience of working within the NHS or other public sector.

Desirable

Experience with face to face customer care in an outpatient setting NVQ 3(4) or equivalent experience
