Job summary

We are looking for an enthusiastic, reliable and hardworking candidate to be part of our administrative team.

Our Reception Team ensures we navigate our patients to the right service, delivered by the right clinician and at the right time.

This position offers;

34 hours each week £ per hour NHS Pension Free on-site parking The surgery has an experienced team who will make you feel welcome.

Main duties of the job

Main duties will include:

Receiving and calling patients Helping, assisting and directing patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Undertake a variety of administrative duties to assist in the smooth running of the practice. Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.

About us

New Barn Close Surgery is an NHS General Practice providing primary care services to Broadway and the surrounding areas. It was purpose built in 2021 and is equipped with new facilities and equipment, including ample free on-site parking.

We have an onsite dispensary which serves 50% of our patients.

Our close-knit team is committed to offering high quality, safe and effective care with a focus on providing excellent patient access and continuity of care.

Job responsibilities

Opening andclosing of premises (if applicable). Turnon TV screens..

Receivetelephone calls taking messages, action as appropriate.

Deal withincoming and outgoing communications in accordance with practice policies andprocedures.

Manage andmaintain the computerised appointment system.

Book patientsinto the surgery and deal with enquiries in a polite, professional andcourteous manner.

Note anydiscrepancies so that patients may be dealt with concerning registration uponarrival at the surgery.

Handlegeneral enquiries, explaining practice procedures, making new and follow-upappointments.

GeneralDuties

Recordrequests and details for home visits.

Maintainingsupplies of stationery available in reception area.

Ensureprinters fully replenished with Script and Plain paper each morning.

Keep thefront desk and other areas of the office tidy and administrative systems inlinewith clear desk policy.

Ensure thatessential systems and filing are maintained.

Undertakedata entry to the patient files as necessary.

Participatein all aspects of administrative tasks necessary to the smooth running of thepractice.

Respond tothe emergency call signal in accordance with surgery policy and procedures.

Maintain ahigh standard of confidentiality at all times.

Maintain asafe working environment in accordance with Health and Safety at work.

Air and tidywaiting rooms after surgeries.

Leave thereception area tidy and ready for incoming colleagues, together withinformation regarding unresolved or urgent problems.

Work on owninitiative in organising the daily routine.

Record andaction information from deputising service.

Deal withsamples according to surgery policies and procedures.

Activelyparticipate in training as required.

Activelyparticipate in annual appraisal.

Acceptdelegated responsibility for specific administrative tasks and manage theseeffectively.

Undertakeadministrative duties as required within usual working hours.

Reportsignificant events to the manager and make a record of such.

Attendmeetings relevant to your role in the practice.

Any otherduties which may be required and agreed with the line manager.

Experience

Essential
