Job summary

Would you like a fast-moving role that helps patients and supports clinicians? If so, we are seeking enthusiastic and motivated administrators within our busy Integrated Single Point of Access (ISPA). The team provides a vital service that includes taking calls from patients, carers, GPs, hospitals, the Ambulance Service, and other healthcare agencies and professionals, and processing email referrals and messages received by the team. You'll need to work calmly and effectively under pressure and have good attention to detail. Excellent communication skills are a must. The team also provides administrative support to the Integrated Community Teams (ICTs), which consist of nurses, healthcare support workers, therapists, and the Frailty Support Service. You work well in a team and individually with the ability to prioritise your work to meet deadlines. Experience within a healthcare setting is desirable but not essential, as full training will be provided.

Whether full or part time, we offer working hours between 8:00am and 6:00pm across seven days, enhancements are paid for weekend and bank holiday working.

Flexible working options can be considered for the right candidates including annualised hours or weekend only working. Once fully trained remote or 'hybrid' working is possible utilising the latest telecoms technology.

The office is situated within walking distance of the main bus station and train station and there is free on-site parking.

Visits to the team are strongly encouraged.

Main duties of the job

Respond to patients, carers and other professionals in a courteous, professional and effective manner whilst upholding Trust Values

Process telephone calls appropriately

Monitor and process electronic and verbal referrals

Update Electronic Patient Records

Book appointments for daily visits and clinics

Book Patient Transport as directed

Undertake other administrative duties within the ISPA as specified by team lead

Liaise with Team Leaders, Community Matrons and staff within the South West Hampshire Division to provide a safe, effective and timely service to patients and carers

Provide effective administrative support to the Integrated Care Teams and be able to work flexibly across the localities

Ensure governance and confidentiality guidelines and requirements are fully adhered to, processing all communications appropriately within guidelines

Provide a flexible and responsive service according to the needs of the organisation to ensure service delivery standards are maintained at all times

Support colleagues within administration teams

Adhere to HR policies and engage constructively with appraisal and supervision

Promote better patient care at all times and utilise resources as efficiently as possible

The final combination of Southern Health and Solent Trusts is anticipated to occur in July 2024, when the new organisation will be formed.
