Keeping the team informed of priorities and objectives and understanding our part in the bigger picture (Trust vision, strategy and priorities) will be essential in maintaining focus and direction.

The role involves working with stakeholders throughout the Trust, so building and nurturing internal relationships and networks is key to success in the role. Working closely with colleagues across the Trust, the Team Leader will facilitate collaborative working and co-design, information sharing and decision making in relation to improvement activity, and support the development of a continuous improvement culture.

Main duties of the job

In line with the Trust and team priorities, you will be responsible for supervising, managing, developing and motivating team members on a daily basis to support delivery of improvement projects and activities across the Trust (as outlined through Patient First Programme). This will include supporting the team to deliver coaching and develop capability across all divisions via driver meetings, maturity meetings, Service Development Reviews (SDRs) and Improvement Huddles, with a consistent and system approach to continuous improvement.

In order to continually improve our Kaizen Office services and training offerings, you will support in service review, design and development, collecting and applying ‘customer’ insights to continually improve these offerings.

Detailed job description and main responsibilities

Main Duties and Responsibilities

Communication, engagement and stakeholder management

Develop close working relationships with senior leaders, providing appropriate coaching and support in order to deploy the trust strategy and improve PFIS maturity across Divisions.

Support in learning & sharing of improvement best practice within the team, Improvement & Delivery Directorate and the wider Trust.

Support the development of a continuous improvement culture

Deliver difficult messages at a divisional level, some of which may be contentious or sensitive in nature such as issues surrounding maturity performance. There will potentially be barriers to acceptance, as this will lead to different ways of working and challenging the status quo.

Empathise with, motivate, and influence teams not directly managed to different viewpoints in order to achieve positive outcomes.

Deliver presentations to a variety of audiences including front line staff, divisional or senior leaders etc.

Develop and implement the use of visual management within care groups/ directorates across the organisation to embed and sustain PFIP tools and maturity.

Service Delivery and Improvement

Working closely with the Head of Strategy Deployment and Senior Kaizen Office Business Partner, provide day to day leadership within the Kaizen Office and co-ordinate the support of system wide continuous improvement activity across all divisions.

 The post-holder will be able to work within a highly complex healthcare environment to:

Manage and coordinate the delivery of PFIS roadmaps Work closely with divisional triumvirates to support in the ongoing development & governance of PFIP maturity, including development, roll out and maturity tracking of: Divisional Patient First Improvement Programme (PFIP) maturity Divisional Driver meetings Care Group/ Directorate Improvement Huddles Frontline Patient First Improvement System (PFIS) Maturity Capability objectives

Provide coaching and support capability building to the Care Group/ directorate triumvirate, to develop and support PFIS capability and maturity across Divisions.

Develop and support Leader Standard Work across all divisions to embed leader standard work as ‘business as usual’ at every level of the organisation.

Support the development, implementation and governance of the Trust’s Gemba with Purpose plan. With particular focus on divisional level Gemba with purpose plans, using the divisional PFIP maturity meetings to embed compliance and accountability.

Manage and support the Patient First Implementation Practitioners in the development and delivery of rollout plans for care group/ directorate level improvement huddles and activities.

Working with Continuous Improvement Project Managers and other colleagues, lead small / medium improvement projects and provide support for large / medium improvement initiatives using A3 Thinking or DMAIC methods as required.

Lead / contribute to Rapid Improvement Events, providing continuous improvement knowledge and expertise to support change during the event and support the sustainability of improvement through the wider improvement system.

Ensure communication and engagement plans are in place that facilitate the celebration of success, sharing of best practice and learning across all part of the organisation.

Support in the ongoing review and development of Kaizen Office service/training offerings to build improvement capability across the organisation, ensuring staff have the appropriate level of skills to deliver continuous improvement as a business-as-usual activity.

People Management and Development

Provide operational line management for the team of Patient First Improvement Practitioners and ensure that all staff have up to date appraisals, objectives and personal development plans.

Responsibility for recruitment to the team, performance, training and career pathways/development and succession planning.

Participate in peer-to-peer coaching sessions to ensure on-going development as a coach and adherence to the highest ethical and professional standards.

Promote training opportunities for the team to ensure that the Trust has appropriately skilled staff to enable a high-performance culture.

Ensure that the function is adequately resourced and, through talent management, ensure that the workforce is planned for the Trusts’ future needs.

Ensure the performance and contribution of individuals is maximised in line with the organisations’ aims through the promotion and management of appraisal and performance management processes.

Support national policy initiatives ensuring local action is adhered to in terms of being recognised as a model employer that has outstanding staff motivation and retention rates i.e. Staff Satisfaction Survey; Equality and Diversity etc.

Support the promotion and development of equal opportunities and diversity across the Trust in both employment and provision of services and develop opportunities to grow our own staff into continuous improvement practitioners.
