Office Assistant Apprentice

Reports To: Office Assistant

Location : Heathrow Offices (Full-Time Office based / 5 days)

The role

To provide first class administrative and front of house support in to Ferrovial Construction at our Heathrow offices. The role is in connection with the apprenticeship and full training will be provided in all areas

Key Responsibilities:

To manage room bookings for the business and any meeting requirements including IT and catering

Provide comprehensive facilities management service inclusive of, ordering stationary, sorting post, stocking the kitchen, advising on car park spaces and couriers for internal and external visitors, general filing and ad-hoc admin duties.

Management of office IT equipment such as printers and providing support and coordinator of equipment for new starters and/or leavers

To provide administrative support to the management team upon request

To promote company values in all dealings with other employees, clients, subcontractors and other external contacts

Participate actively in the planning and execution of company events

Organize orientation and training of new staff members

Provide support to the engineering teams to file information into the available databases and ensure filing systems are maintained and current

Reporting office progress to senior management and working with them to improve office operations and procedures

Managing all deliveries

Acting as a fire marshal and first aider for the office (attending relevant training)

Provide all of the above for the different Ferrovial offices around Heathrow (Boiler house, Wineglass, KAD and Compass Center)

Helping the Office Manager with any other tasks which may arise

Key Accountabilities

To provide administrative support in a timely manner

To effectively communicate with all project departments

To support the productivity on the site so that the project is completed on time

Experience of facilities management including managing reception

Flexible approach to work and working hours

Exceptional administrative and organisational skills

Excellent written and oral communication skills

Strong IT skills including Microsoft office packages

Skills and Competence:

Motivated to learn and add value to the team, the role and the apprenticeship programme 

A proven team player who can work with others

Enjoys working under pressure to meet deadlines

Good communication skills verbal and written

 Proactive approach to working and learning

Familiar with all Microsoft packages, especially Excel

Good organizational skills and attention to detail

Aspiring to grow within the Ferrovial Apprenticeship programme by progressing on to higher levels

Interpersonal Skills:

Highly motivated

Resilient and adaptable

Results driven with strong communication skills

Qualifications:

5 GCSEs grade 4-9, including Maths and English

A Levels or BTEC Level 3

Apprenticeship Standard:

Level 3 Business Admin

Duration: 2-year Apprenticeship Programme

Hours: 40.5 per week
