Job Summary

To support the Finance and Accounting Officer in ensuring that financial and accounting

operations of the EGPAF Field Office are in strict compliance with EGPAF policies and procedures and specific donor rules and regulations. Also strive to ensure efficient and accountable use of donor funds

Key Responsibilities

1. Accounts Payable  

Assist in timely processing of staff advances for travel and activities;

Assist in Processing of supplier invoices within agreed timelines.

2. Accounts Receivable

Assists in collection, review and preparation of vouchers of Field Expense Reports, ensuring the validity and accuracy of all submitted expenses.

3. Cash/Bank Management

Ensure timely banking of any unspent amounts refunded by staff as well as any checks written in favor of the foundation for various transactions.

4. Archiving

Ensure that all vouchers have been cancelled after payment;

Ensure that all vouchers are scanned and uploaded to OneDrive;

Ensure that vouchers are physically filled in accordance with policies.

6. Other Responsibilities

Ensure a proper filing of physical vouchers;

Support the Audit/Compliance Review Exercises;

Any other work-related duties as may be assigned.

Required skills and experience:

Minimum Diploma HND in accounting;

Excellent communication skills;

Well-developed interpersonal skills;

Working knowledge of English/French;

Strong work ethic and ability and willingness to work long hours;

Able to work in team settings and willingness to learn;

Minimum of 01 year of working experience;

IT Savvy, including accounting software;

Willingness to travel.

Contexte

La Fondation Elizabeth Glaser pour le SIDA Pédiatrique est un leader mondial dans la lutte contre le VIH et le SIDA pédiatrique, travaillant dans 19 pays et sur plus de 5 500 sites à travers le monde pour prévenir la transmission du VIH aux enfants, et pour aider ceux qui sont déjà infectés. Fondation et de ses partenaires, le sida pédiatrique a été pratiquement éliminé aux États-Unis. EGPAF travaille en partenariat avec le Ministère de la Santé NACC et les équipes de santé régionales et de district pour soutenir les services de prévention, de soins et de traitement du VIH et de renforcement des systèmes de santé. EGPAF est principalement financé par le PEPFAR par l'intermédiaire des Centers for Disease Control and Prevention (CDC) et de l'Agence américaine pour le développement international (USAID).

Résumé du poste

Soutenir le responsable des finances et de la comptabilité en veillant à ce que les opérations financières et comptables du bureau local d'EGPAF soient menées à bien.

Responsabilités clés

1. Comptes créditeurs

- Aider au traitement en temps voulu des avances du personnel pour les voyages et les activités ;

- Aider au traitement des factures des fournisseurs dans les délais convenus.

2. Comptes débiteurs

- Aider à la collecte, à l'examen et à la préparation des pièces justificatives des rapports de dépenses sur le terrain, en veillant à la validité et à l'exactitude de toutes les dépenses soumises.

3. Gestion de la trésorerie/banque

- Assurer la mise en banque en temps voulu de tous les montants non dépensés remboursés par le personnel ainsi que de tous les chèques émis en faveur de la fondation pour diverses transactions.

4. Archivage

- S'assurer que toutes les pièces justificatives ont été annulées après paiement ;

- S'assurer que toutes les pièces justificatives sont scannées et téléchargées sur OneDrive ;

- S'assurer que les pièces justificatives sont physiquement remplies conformément aux politiques.

6. Autres responsabilités

- Assurer un classement approprié des pièces justificatives physiques ;

- Soutenir les exercices d'audit/de révision de la conformité ;

- Toute autre tâche liée au travail qui pourrait lui être confiée.

Compétences et expérience requises :

- Diplôme minimum HND en comptabilité ;

- Excellentes aptitudes à la communication ;

- Compétences interpersonnelles bien développées ;

- Connaissance pratique de l'anglais et du français ;

- Forte éthique de travail et capacité et volonté de travailler de longues heures ;

- Capacité à travailler en équipe et volonté d'apprendre ;

- Minimum d'un an d'expérience professionnelle ;

- Connaissance de l'informatique, y compris des logiciels de comptabilité ;

- Volonté de voyager.
